JOB TITLE: Admissions Support Coordinator REPORTS TO: Regional Director of Admissions POSITION SUMMARY: The Institute of Culinary Education (ICE) is seeking an Admissions Support Associate to join our Admissions team and help guide prospective students through the admissions process. ICE is one of America’s leading centers for culinary education and the largest culinary school in New York City and Los Angeles. The Admissions Support Associate will join a team that annually serves 1000’s of prospective students who are looking to pursue their dreams of a culinary education by attending ICE. The Admissions Support Associate is a key member of our Admissions team and reports directly to our Assistant Director of Admissions Support. We support and reward creativity, performance, professional development and team involvement. We also have fun, and eat well, in the process! Key Job Responsibilities: Support Admissions representatives and applicants throughout the enrollment process by collecting, reviewing, validating, and tracking required admissions and enrollment documentation. Review applicant and student files for completeness and accuracy, with an auditor’s eye for detail, to help ensure institutional, regulatory, and compliance requirements are met. Process applications, enrollments, and related admissions documentation accurately and efficiently while maintaining timely and accurate records within the CRM and other admissions systems. Serve as a forward\-facing customer service representative for the school, responding professionally and promptly to applicant questions by phone, email, and in person. Maintain organized tracking systems for outstanding admissions requirements, documentation, deadlines, and follow\-up activities; proactively identify missing information and communicate next steps. Manage multiple priorities and administrative responsibilities simultaneously in a fast\-paced environment, with the ability to pivot quickly as departmental priorities change while maintaining accuracy and follow\-through. Support Admissions events and department operations, including applicant and guest check\-in, scheduling, attendance tracking, data entry, event preparation, and coordination with appropriate departments. Identify, communicate, and appropriately escalate potential compliance, documentation, or data\-integrity concerns, including issues related to applicant files, CRM records, and Admissions requirements. Collaborate closely with Admissions representatives and other departments to resolve applicant issues and support an efficient enrollment experience. Perform additional administrative and Admissions Support responsibilities as assigned. Experience and Educational Requirements Associate degree or relevant professional experience. Minimum of two (2\) years of experience working in a fast\-paced, team\-oriented environment, preferably in admissions, education, customer service, administration, data management, or a related field. Strong organizational skills with exceptional attention to detail and the ability to review information for accuracy, completeness, and consistency. Strong written and verbal communication skills, with excellent interpersonal and customer service abilities. Demonstrated critical\-thinking and problem\-solving skills, with the ability to recognize issues, research information, and determine when escalation is appropriate. Ability to prioritize and manage multiple assignments, deadlines, student files, and competing responsibilities while maintaining accuracy. Proficiency in Microsoft Excel and Word and Google Docs, with the ability to learn CRM platforms and other software systems quickly. Strong data\-entry and record\-management skills, with an emphasis on accuracy and consistent documentation. Dependable, proactive, adaptable, and comfortable working both independently and collaboratively as part of a team. Flexible schedule required, including evening and occasional weekend availability. Work schedules may include morning, evening, and occasional later shifts based on Admissions department needs.
