About the Opportunity: Chelsea Piers' People Operations team supports over 1,600 employees across our sports, fitness, and events venues in the Greater NYC area. We're looking for someone who takes real care with the details \- accurate, consistent, and reliable in the day\-to\-day work that keeps our team running and helps provide the best possible support to our employees. This role supports a wide range of essential People Ops functions, from onboarding logistics to employee questions to the reports that keep us compliant and informed. As our team continues to modernize its systems and workflows, you'll have the chance to see those changes take shape and provide input along the way. What You'll Do: Office Management Greet and assist all Chelsea Piers Management (CPM) guests and employees Provide excellent customer service and hospitality to CPM guests and employees Maintain a positive attitude and take initiative Monitor visitor access and maintain security awareness Answer, screen, and transfer phone calls Receive and sort office mail and packages Maintain office supplies by keeping the copy room organized and ordering and inventorying supplies Deposit all checks collected in CPM via remote deposit Return all deposited checks and report to corresponding AR contact Handle a variety of tasks from our CPM department heads (Finance, Marketing, Operations, People Ops, Technology) including, but not limited to, data entry, filing, scheduling, and special projects as assigned Recruitment \& Onboarding Post, update, and remove job listings across job boards, keeping postings accurate as roles open and close Initiate and track background checks, onboarding checklists, and I\-9 verification, following up on outstanding results Coordinate candidate assessment administration (Predictive Index, pre\-screening questions, resumes, cover letters) for open roles Maintain an organized inventory of job descriptions with standardized language and formatting Assist with bulk hiring needs, including standardized rejection notices Audit our presence on job sites and help keep employer profiles current Assemble and distribute welcome packets, and coordinate first\-day logistics like name tags and gym membership setup Employee Support Serve as a first point of contact for employee questions submitted through our internal help channels, answering routine questions directly and routing anything sensitive or complex Process password resets and basic system access requests across our HR platforms Help administer employee recognition programs including the High Five and All\-Star Programs Reporting \& Compliance Pull and distribute recurring compliance reports \- including outstanding I\-9s, inactive employee records, and mandatory training completion \- and send reminders to managers and employees to close gaps Track and send reminders for outstanding PTO requests via Paycom, keeping managers on schedule Prepare recurring people reports including weekly all\-staff reports, monthly attrition/turnover, and new\-hire reports Benefits Administration Confirm daily timesheet change approvals and monitor 401(k) eligibility milestones as employees reach plan thresholds Process Tuition Assistance and Calm App requests, tracking submissions and communicating with employees about eligibility Additional Duties Coordinate logistics for internal meetings and events, including space setup and materials Keep People Ops shared files and resources organized and current Maintain directories and distribution lists Support special projects and other duties as assigned Required 1–2 years of experience in an administrative, office, customer service, or HR support role Proficiency in Microsoft Office (Outlook, Word, Excel), including basic spreadsheet skills for tracking and reporting Strong written and verbal communication skills, with a professional and welcoming presence in person and on the phone Excellent organizational skills and the ability to manage multiple tasks and deadlines in a fast\-paced environment Demonstrated ability to handle confidential information with discretion Comfort learning new systems and adapting to changing processes and priorities This is an on\-site role five days a week, and the schedule may require flexibility to support employee programs and business needs.
