This position is responsible for coordinating Admission and Records office functions, assists faculty, staff and students with various Admissions and Records activities, applying standard techniques and procedures, compliance standards, resolves problems, provides student services support, and serves as an informational resource, and makes process improvement recommendations. To best serve the students, department, and college, this position is fully in\-person. Essential Functions ----------------------- 30% – Admissions Logistics and Compliance --------------------------------------------- Coordinates daily Admissions and Records functions including, but not limited to, application processing, graduation processing, transcript evaluation, tuition classification and lawful presence determinations, refund appeal research, records retention, and compliance tracking. Reviews and processes student applications and supporting documentation for accuracy, completeness, and regulatory compliance; requests and verifies additional information as needed. Evaluates incoming transcripts following district\-wide processes, including GPA calculations, transfer credit review, transcript recording, and National Student Clearinghouse updates. Interprets and applies applicable federal, state statues, and district policies, and procedures related to admissions, registration, residency, visas, enrollment verification, and records management. Provides information and may administer admissions related processes and programs such as placement criteria, specialized enrollments and programs, scholarships, financial aid related support services, and fee assessments as assigned. Prepares records for permanent storage or disposal in accordance with records retention and compliance requirements. 30% – Operations, Data Integrity, and Quality Assurance ----------------------------------------------------------- Coordinates workflow, daily operations, and compiles daily operational staffing schedules as directed to ensure timely and efficient delivery of Admissions and Records services. Maintains the accuracy, integrity, and security of student information systems, databases, reporting tools, and document management platforms. Performs online data entry, document processing, and system updates related to admissions, registration, transcripts, residency, enrollment status, and degree verification. Gathers, compiles, analyzes, and reports enrollment and student services data for departmental decision making, institutional planning, and government reporting. Runs data cleanup and quality control reports; verifies last date of attendance and updates student records in compliance with applicable policies and regulations. Prepares and maintains correspondence, reports, presentations, operational documentation, and audit support materials. Identifies process gaps and supports continuous improvement efforts by recommending workflow enhancements and assisting with policy and procedure implementation. 30% – Frontline Services, Staff Coordination, and Technical Support ----------------------------------------------------------------------- Provides direct admissions, registration, and records support to students through front counter, phone, and electronic channels; independently resolves complex or escalated cases and provides guidance and support to part\-time staff when advanced or high\-level issues arise. Facilitates training workshops for cohorts of students and employees, identifies barriers to enrollment or persistence, and connects students with appropriate institutional resources. Serves as a primary point of contact for admissions, registration, transcript services, residency inquiries, and enrollment related questions in\-person, over\-the\-phone, and electronically. Coordinates, trains, and provides functional guidance to full\-time staff, student workers, and temporary employees to ensure consistent, compliant, and high quality customer service. Provides training, orientation, and technical assistance to staff on systems, workflows, processes, and regulatory requirements as assigned. Collaborates with campus departments, district offices, and external partners to support admissions initiatives for special programs, and enrollment activities. 10% – Administrative Support, Projects, and Other Duties ------------------------------------------------------------ Coordinates or supports special projects, events, or initiatives related to admissions, enrollment management, and student services. Assists with evening or special enrollment activities as operationally required. Performs other related administrative duties, reporting tasks, and operational support functions as assigned and commensurate with the classification level. Participates in training, meetings, and professional development activities to remain current on policies, systems, and best practices. Minimum Qualifications -------------------------- Associate’s degree from a regionally accredited institution in business administration, education or directly related field, and two (2\) years of full\-time equivalent experience assisting with educational program development and coordination, student advisement, financial aid, or related student development programs. OR High School diploma/GED and four (4\) years of full\-time equivalent experience assisting with educational program development and coordination, student advisement, financial aid, or related student development programs. An equivalent combination of the conferred degree and directly related full\-time work experience as described above sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation, may be considered. Desired Qualifications -------------------------- Two (2\) years of experience working in a team environment One (1\) year of experience working with students from varied backgrounds/post\-secondary student population Two (2\) years of customer service experience with a high degree of public contact, including, but not limited to, in\-person, telephone, e\-mail, text, and/or chat One (1\) year working with federal and state requirements (e.g., lawful presence/residency determination) One (1\) year of experience working in an educational environment providing support services in higher education One (1\) year of experience in data compilation, database management, or data analysis.
