Job Summary We are seeking a dynamic and organized Secretary/Receptionist to be the welcoming face and efficient coordinator of our office. In this vital role, you will manage front desk operations, handle multi\-line phone systems, and provide exceptional administrative support to ensure smooth daily functions. Your positive attitude, strong organizational skills, and ability to multitask will help create a professional and friendly environment for clients, visitors, and team members alike. Hours of operation Monday through Friday: 7:00 AM to 4:00 PM. Responsibilities Greet visitors warmly and direct them appropriately, ensuring a positive first impression of the company Manage multi\-line phone systems, answer inquiries promptly, and transfer calls efficiently using professional phone etiquette Handle incoming and outgoing correspondence, including emails, mail, and packages with accuracy and timeliness Maintain organized filing systems—both physical and digital—using tools like Google Workspace and Microsoft Office Schedule appointments, manage calendars, and coordinate meetings for staff and executives with precision Perform data entry tasks such as updating records in QuickBooks and other office management software Support clerical duties including proofreading documents, managing invoices, bookkeeping tasks, and general office organization Requirements Proven experience in an office environment or clerical role with strong organizational skills Excellent computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry tools Prior experience handling multi\-line phone systems and demonstrating exceptional phone etiquette Strong typing skills with attention to detail for proofreading documents and managing correspondence Knowledge of office management procedures including filing systems, calendar management, and bookkeeping software such as QuickBooks Demonstrated customer service skills with a friendly demeanor and professional attitude Ability to prioritize tasks efficiently using time management techniques; experience as a personal assistant or in customer support is a plus Join our team where your organizational talents will shine!
