Job Summary We are seeking a dynamic and highly organized Part\-Time Personal Assistant to support a busy spa owner with a variety of administrative and project coordination tasks. This role offers an exciting opportunity to contribute to efficient office operations, manage schedules, coordinate events, and handle confidential information with professionalism. The ideal candidate will be proactive, tech\-savvy, and possess excellent communication skills, ensuring seamless day\-to\-day functioning and supporting the overall success of the team. Responsibilities Manage and coordinate executive calendars, including scheduling appointments, meetings, and business travel arrangements using Microsoft Outlook Calendar and Google Workspace. Provide comprehensive administrative support such as data entry, filing, proofreading, transcription, and managing correspondence through email and video conferencing software. Organize and assist with planning events, meetings, and conferences to ensure smooth execution from start to finish. Handle internal communication across teams, ensuring timely dissemination of information and collaboration with C\-suite executives. Maintain office management duties including managing multi\-line phone systems, front desk responsibilities, filing systems, and handling confidential information with discretion. Support bookkeeping tasks using QuickBooks and assist with invoicing, expense tracking, and basic bookkeeping duties. Assist with project coordination by tracking deadlines, preparing reports, and ensuring tasks are completed efficiently. Requirements Proven experience as a personal assistant or executive administrative support role with strong organizational skills. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Docs, Sheets), and productivity software. Experience with project management tools and event planning is highly desirable. Excellent typing skills along with strong written communication skills; ability to proofread and transcribe accurately. Familiarity with video conferencing software such as Zoom or Microsoft Teams; experience managing virtual meetings is a plus. Ability to handle confidential information discreetly while maintaining professionalism in all interactions. Strong office management skills including filing systems, data entry, customer service at the front desk, and managing multi\-line phone systems. Technical proficiency in office equipment and software; comfortable learning new tools quickly. Exceptional organizational abilities with keen attention to detail; capable of managing multiple priorities effectively. Previous experience working as an executive or personal assistant is preferred; familiarity with business travel arrangements is a plus.
