Assistant Community Association Manager Position Summary The Assistant Community Association Manager provides administrative and operational support to Community Association Managers and other members of the management team. This role supports homeowner communications, community administration, compliance processes, collections activities, and records management. Essential Duties and Responsibilities Homeowner and Community Support · Respond to homeowner phone calls, emails, and inquiries regarding: o Account balances o Architectural Review Committee (ARC) applications o Covenant violations o Collection status o Work order status · Update homeowner contact information in the company management system. Community Administration · Assist Community Association Managers with mailings and homeowner correspondence. · Process ARC correspondence, violation notices, and other community communications as directed. · Draft violation correspondence when requested. · Upload and maintain community records, including meeting minutes, financial reports, and governing documents, within the company management system. · Assist with key fob, gate remote, pool access, and other resident access requests. Operational Support · Assist the Developer Manager with administrative and operational activities for developer\-controlled communities. · Assist the Senior Manager with resale certificate processing. · Assist the Collections Manager with monthly collection procedures. · Prepare documents, reports, and spreadsheets as assigned. · Perform other duties and special projects as assigned. Qualifications · Strong attention to detail and accuracy. · Excellent organizational and time\-management skills. · Strong customer service, written communication, and verbal communication skills. · Critical thinking and problem\-solving abilities. · Proficiency in Microsoft Word, Excel, and Outlook. · Ability to manage multiple priorities and work effectively in a team environment.
