Definition -------------- Under general supervision of the Human Resources (HR) Department Recruitment and Selection (R\&S) Division Recruitment Manager, performs administrative and paraprofessional recruitment and selection services in support of the R\&S staff. Assumes primary responsibility for certain R\&S tasks including, but not limited to, processing Recruitment Requests, posting job notices, assisting with interview preparations, background and fingerprint checks and R\&S data entry. This job class is treated as FLSA non\-exempt. Essential Functions: Essential functions may vary among positions and may include the following tasks, knowledge, abilities, skills and other characteristics. This list of tasks is illustrative only and is not intended to be comprehensive listing of tasks performed by all positions in this classification. Distinguishing Features: The Recruitment Technician provides all administrative and clerical support to the R\&S staff. As an entry\-level R\&S job class, works to learn more about the recruitment cycle and ultimately become actively involved in facilitating all aspects of the process. Strives to become proficient in all aspects of the recruitment and selection process. Examples of Tasks --------------------- 1\. Recruitment \& Selection Support: Assists the Recruitment Manager and Recruitment Specialists with all assigned aspects of the recruitment and selection process. Prepares job posting announcements, places advertising and follow\-up with post selection process tasks including background checks. Researches and reports job posting cost data for infrequently used publications or websites. Proofreads job advertisements on the SRPMIC website and other publications. Answers phone inquiries for active or closed job postings. Provides pre\-employment information to prospective candidates regarding job characteristics, minimum qualifications, the application and selection process. Refers candidates or other customers to the appropriate staff resource. Reviews completed work for accuracy and identifies opportunities to improve processes. Recommends enhancements to streamline the Recruitment and Selection (R\&S) process for greater efficiency. Provides exemplary R\&S customer services at all times. 2\. Recruitment \& Selection Communications: Assumes primary responsibility for monitoring and disposition of the R\&S electronic “in\-box”. Determines action required for all incoming R\&S communications. Adheres to the daily deadline for e\-mail task processing and determines the best method, and person, to address the incoming communications. Reviews candidate submitted documentation and determines appropriate actions based on the information provided. 3\. Recruitment Request Processing: Coordinates the Recruitment Request (RR) process from receipt to job posting in a timely and accurate manner. After receipt, processes Recruitment Requests (RR) on a first\-come, first\-served basis. Checks all RR’s for accuracy and contacts submitting department with any questions, problems or anomalies. Ensures all critical information needed for job posting is received including, but not limited to, budget position number, job class code, incumbent information, vacancy dates, indication of hiring authority and any special requested noted. Matches the RR with the appropriate class specification (job description) and posts the job as necessary including: + SRPMIC employment website + Digital Signage + Community Announcements + Community Member mailing + Au\-Authm newspaper + External advertising + Special request resources Strives for complete accuracy in all job postings and related communications. Applicant Tracking System (ATS) Support: Provides technical and administrative support for recruitment activities through the Applicant Tracking System (ATS). Posts job openings and updates requisitions in the ATS to reflect current recruitment needs. Generates standard and ad hoc reports to support recruitment metrics and compliance tracking. Assists with troubleshooting ATS issues and provides basic user support to HR staff and hiring departments. Receives and processes applicant verification documents for preference (e.g. Tribal identification, certifications), submitted via fax, email, or other methods, and accurately enters the information into the applicant tracking system (ATS). 4\.. Job Posting Outreach: Assumes primary responsibility for managing and distributing job postings across internal and external platforms. Prepares and updates job posting content for internal communication channels such as digital signage and bulletin boards. Posts job vacancies to external job boards, advertising and professional websites. Ensures all postings include accurate job titles, closing dates, and links or references to the employment application site. Verifies that job postings are live and accurate across all platforms; promptly corrects any discrepancies. Submits payment requests for job advertisements and recruitment\-related expenses using the department P\-Card. Ensures all transactions are properly documented by obtaining itemized receipts and supporting documentation for accurate and timely P\-Card reconciliation. 5\. Interview Process: Acts as a “backup” to the R\&S staff for candidate interviews as needed. Works diligently to learn the interview cycle and process from candidate contact thru job offer and follow\-up. Works toward achieving the proficiency needed to independently conduct the interview process without assistance and with exemplary service to the customer department. Reviews the electronic interview schedule and contacts all candidates who have not responded to interview invitations. Populates the interview schedule as appropriate. Assists the R\&S staff by preparing interview preparation packets. 6\. Background Checks: Supports the new hire background check process from candidate authorization thru to conclusion. Assists with new hire fingerprinting and ensures inclusion in the background check process. May submit requests to appropriate third\-party agencies or entities to obtain required background or verification information. May assist with monitoring the status of all background checks noting anomalies and forwards all pertinent information to the R\&S staff. Assists with background check approvals with department Directors. Identifies and recommends way to improve the background check process including all efficiencies and methods to expedite the process. 7\. Miscellaneous: Performs other job\-related duties as assigned by the Recruitment Manager or Assistant HR Director. Knowledge, Skills, Abilities and Other Characteristics: Knowledge of the history, culture, laws, rules, customs and traditions of the Salt River Pima\-Maricopa Indian Community. Knowledge of the SRPMIC Tribal Government and its various departments. Knowledge of the recruitment and selection process, methods, practices and techniques. Skill assessing and prioritizing assigned tasks. Skill identifying and maintaining the confidentiality of sensitive and important information. Skill with critical thinking and decision\-making regarding R\&S matters. Skill preparing and maintaining detailed records and reports. Ability to pay close attention to details. Ability to meet due dates and deadlines. Ability to multi\-task. Ability to work effectively and accurately in a high\-volume, high stress work environment. Ability to perform effectively as a contributing member of the work team. Ability to communicate well with others using specialized and commonly used language to provide explanations to those for whom the subject matter is unfamiliar or difficult to understand. Ability to use a personal computer including MS Office. Ability to work cooperatively and courteously with the public. Ability to communicate effectively both verbally and in writing. Minimum Qualifications -------------------------- Education: Graduation from High School or a GED equivalent is required. Associate’s degree preferred. Experience: One (1\) year experience in an office environment providing customer service and administrative support using a personal computer. Experience in a recruitment related work environment is highly preferred. Work in a diverse, multi\-cultural, high work volume and confidential information environment is preferred. Equivalency: Any equivalent combination of experience and education that will allow the applicant to satisfactorily perform the duties of the job may be considered when filing the position.
