Position Summary We are seeking an organized, energetic, and proactive Sales Administrator / Assistant Sales Representative to join our growing team. This position serves as an important link between the sales, customer service, service, operations, and administrative departments. The successful candidate will assist with customer inquiries, lead follow\-up, online inventory management, social media marketing, sales documentation, boat deliveries, and general administrative support. This role is ideal for someone who enjoys working with customers, managing multiple priorities, and contributing directly to the growth of a business. This is an excellent opportunity for a motivated individual who would like to gain experience in the boating industry and grow into a full\-time boat sales position. Key ResponsibilitiesSales and Business Development Respond promptly and professionally to incoming telephone, email, website, and social media inquiries. Gather initial customer information, identify boating needs, and route qualified opportunities to the appropriate salesperson. Conduct social media prospecting, email outreach, and follow\-up communications to help generate new boat sales opportunities. Maintain and update online boat inventory, including pricing, specifications, photos, availability, and listing information. Assist with posting and managing social media advertisements and online marketplace listings. Schedule customer appointments, boat showings, sales presentations, sea trials, and meetings for sales staff and company leadership. Maintain regular communication with prospective and existing customers throughout the sales process. Track leads, customer interactions, follow\-up activities, and sales opportunities using CRM software. Maintain accurate prospect and customer databases. Assist with the preparation of sales proposals, presentations, bids, contracts, and marketing materials. Support customer acquisition efforts by ensuring leads are contacted promptly and consistently. Identify potential opportunities for upgrades, accessories, trade\-ins, repeat purchases, and referrals. Track sales activity, lead sources, conversion rates, and other performance metrics. Assist the sales team at boat shows, trade shows, dealership displays, open houses, and promotional events. Develop knowledge of the boats, motors, options, accessories, and services offered by the company. Customer Service and Delivery Coordination Serve as a point of contact between customers, sales staff, service personnel, and management. Coordinate customer communications related to boat preparation, financing, paperwork, delivery, and post\-sale follow\-up. Assist with scheduling and coordinating new\-boat deliveries. Work with the service department to confirm that boats are prepared and ready for customer delivery. Help ensure customers receive timely updates throughout the purchasing and delivery process. Provide professional and responsive customer service before, during, and after the sale. Maintain accurate delivery records, customer notes, and related documentation. Financing, Documentation, and Administrative Support Assist with customer financing applications and communication with lenders, as directed. Support invoicing, payment collection, deposit tracking, and customer payment follow\-up. Assist with the preparation of estimates, purchase agreements, contracts, licensing documents, registration paperwork, and delivery forms. Review documents for accuracy and completeness before submission or filing. Maintain organized electronic and physical filing systems. Manage incoming telephone calls, emails, correspondence, and general customer inquiries. Perform data entry, reporting, recordkeeping, and other administrative duties. Assist with inventory records and ensure sales\-related information remains accurate and current. Support daily office operations and provide administrative assistance to sales and management personnel. Handle confidential customer and company information professionally. Qualifications High school diploma or equivalent required. Associate’s or bachelor’s degree in business, marketing, communications, or a related field is preferred. Two or more years of experience in sales support, customer service, business development, operations coordination, office administration, or a related position is preferred. Experience with lead generation, prospecting, data entry, or customer follow\-up is beneficial. Experience in boat, automotive, RV, powersports, marine, or vehicle sales is a plus. Familiarity with invoicing, customer financing, licensing, registration, or sales documentation is preferred. Proficiency with CRM software, Microsoft Office, Google Workspace, or similar business\-management systems. Experience managing social media content, online advertisements, or inventory listings is preferred. Excellent verbal and written communication skills. Strong organizational, time\-management, and multitasking abilities. Exceptional attention to detail and accuracy. Ability to prioritize responsibilities and meet deadlines in a fast\-paced environment. Professional, dependable, and customer\-focused attitude. Ability to work independently while collaborating effectively with multiple departments. Strong problem\-solving skills and willingness to take initiative. Ability to maintain confidentiality and handle sensitive business and customer information appropriately. Valid driver’s license and reliable transportation preferred. Willingness to work occasional weekends, boat shows, and special sales events as needed.
