Job Summary We are seeking a friendly, highly organized Administrative Assistant to serve as the first point of contact for clients, and to provide essential administrative support to clinic operations. In this dual role, you’ll provide high\-level administrative assistance, help manage daily clinic operations, coordinate communications, and assist in strategic projects that support the leadership team and overall clinic efficiency. Responsibilities Reception and Client Services: Greet clients and visitors warmly, creating a welcoming and professional atmosphere Answer, screen, and direct phone calls promptly Schedule, confirm, and manage client appointments Assist clients with intake paperwork and administrative forms Maintain a clean, organized, and inviting waiting area and office Administrative Support: Provide high\-level administrative assistance to the clinic director and leadership team Support daily clinic operations, including mail handling, and record\-keeping Manage confidential client information in compliance with HIPAA regulations Perform general office duties such as filing, copying, scanning, and data entry Help with insurance verification as needed Coordinate internal communications among staff, clients, and external partners Prepare reports, correspondence, and other documents for leadership as needed Assist with the planning and execution of strategic projects and initiatives Maintain and update administrative policies and procedures Skills: High school diploma or equivalent (Associate’s or Bachelor’s degree preferred) Prior experience in a medical, behavioral health, or mental health clinic setting is highly preferred Strong written and verbal communication skills Proficient in Microsoft Office Suite (Word, Excel, Outlook) and comfortable learning electronic health record (EHR) systems Exceptional organizational skills and attention to detail Ability to handle sensitive information with professionalism and confidentiality Self\-motivated, flexible, and able to prioritize multiple tasks in a fast\-paced environment Positive attitude and a strong commitment to excellent customer service Preferred Skills: Bilingual candidates are encouraged to apply to enhance communication with diverse clients.
