Job Overview We are seeking an energetic and detail\-oriented Front Desk Receptionist to serve as the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, support with consult and pre\-op setups, before \& after pictures, social media engagement, and support administrative functions to ensure smooth daily operations. Responsibilities Greet visitors and clients warmly, ensuring a professional and friendly atmosphere at all times Manage multi\-line phone systems, directing calls efficiently and courteously using proper phone etiquette Handle incoming correspondence, including emails, social media dm's, mail, and packages, with accuracy and promptness Setting up the consult rooms for consults and pre\-ops Taking before and after pictures and prepping them for social media Maintain organized files and records through effective filing systems, both physical and digital Support appointment scheduling and calendar management using airtable Perform data entry tasks with precision into spreadsheets or client management software such as airtable and ring central or other productivity tools Provide excellent customer support by addressing inquiries promptly and professionally Support office management tasks such as ordering supplies, maintaining cleanliness, and ensuring equipment functionality Additional Benefits Medspa treatment employee discount ZO skin health product discount Plastic Surgery Prodocedure discount after 1 year of employment Requirements Proven experience in office administration, clerical work, or front desk roles with a focus on customer service Strong computer literacy with ideally with proficiency in Google Workspace, and data entry software like QuickBooks, Airtable, etc. Excellent organizational skills with the ability to multitask efficiently in a fast\-paced environment Exceptional phone communication skills paired with professional phone etiquette Bilingual abilities are highly desirable to better serve diverse client needs Experience with multi\-line phone systems and front desk operations preferred Knowledge of medical or plastic surgery receptionist duties is a plus but not required Ability to handle confidential information discreetly and accurately proofread documents for errors Strong time management skills with the ability to prioritize tasks effectively Personal assistant or office management experience is advantageous but not mandatory Join us in delivering outstanding service while honing your administrative expertise!
