Position Overview We are hiring a highly organized and detail\-oriented team member to support office operations, support finance department and assist with CRM data entry and organization. This role is critical to keeping our workflow clean, accurate, and moving forward. You will be responsible for handling incoming calls, gathering detailed information from clients, and ensuring all data is clearly documented and entered correctly from lead through production. Key Responsibilities · Answer incoming phone calls and route information appropriately · Ask detailed questions and accurately capture client information · Enter and organize client data within CRM · Maintain accuracy of notes, tags, and job details within the system · Create new job files and assign job numbers as leads move into bidding · Maintain and update the Accepted Jobs board · Set up estimate templates and assist with takeoffs as needed · Upload and organize job photos and documents · Review CRM entries for accuracy and completeness · Send out postcards and follow\-up materials to prospective Clients · Maintain organization of physical client folders and office files What We’re Looking For · Strong people skills – warm, friendly, and professional · Comfortable asking detailed questions and guiding conversations · Able to clearly communicate and document information accurately · Extremely organized and detail\-oriented · Able to manage repetitive tasks with consistency and accuracy · Comfortable working in a structured, process\-driven environment · Tech\-comfortable and confident using computers daily · Experience with Google Drive and Google Sheets · Familiar with Microsoft 365 (Outlook, Word, Excel, etc.) · Able to quickly learn and adapt to new systems (technology should not be a barrier) · Self\-motivated and able to stay on task without constant oversight Preferred Experience · Experience with Google Drive and Google Sheets · Experience with Microsoft 365 Suite, including Outlook, Word, and Excel · Comfortable using computers and learning new software systems · Experience with CRM systems, Knowify preferred but not required · Administrative support or office coordination experience · Experience in construction, roofing, or home services is a bonus Why This Role Matters This position directly impacts how smoothly jobs move through our system.
