Position Overview We're looking for a detail\-oriented Office Administrative Assistant with strong bookkeeping skills to support our day\-to\-day financial operations and office management. This role is primarily desk\-based and focused on accurate, consistent financial record\-keeping, with the flexibility to support light errands and production assistance during active shoot weeks. Key Responsibilities Bookkeeping \& Financial Administration (Primary Focus) Perform daily data entry of financial transactions across company accounts and subsidiary entities Track, organize, and log all receipts and expense documentation Reconcile receipts against bank and credit card statements Maintain organized digital and physical filing systems for financial records Enter and categorize expenses accurately within accounting software (e.g., QuickBooks) Assist with accounts payable/receivable: processing invoices, tracking payments, following up on outstanding items Prepare expense reports and summaries for management review Support month\-end and quarter\-end close processes alongside the finance team Maintain accurate records to support tax preparation, audits, and compliance reviews Flag discrepancies or irregularities in financial records promptly Help maintain documentation segregation across the company's various subsidiary LLCs General Office Administration Manage office supplies inventory and ordering Greet visitors and manage incoming calls/correspondence Maintain organized digital filing systems (contracts, vendor docs, internal paperwork) Coordinate scheduling and calendar support for leadership as needed Assist with onboarding paperwork for new hires/contractors Production \& Errand Support (As\-Needed, During Production Weeks) During weeks with vertical/short\-form shoots, available to step in as a Production Assistant (PA) on set as needed Run office and production\-related errands (supply pickups, equipment drop\-offs, courier tasks, etc.) Support production team with light logistics during active shoot days Technology \& AI Integration Willingness and eagerness to learn and adopt AI tools to streamline bookkeeping and administrative workflows (e.g., AI\-assisted data entry, receipt scanning/categorization tools, automated reconciliation) Proactively suggest process improvements and efficiency gains as new tools become available Comfortable learning new software platforms quickly Qualifications Required: 1\+ years of bookkeeping or accounting support experience (data entry, receipt tracking, reconciliation) Proficiency with accounting software (QuickBooks or similar) Strong Excel/spreadsheet skills Excellent attention to detail and organizational skills Reliable transportation (for occasional errands/production support) Strong written and verbal communication skills Preferred: Associate's degree or coursework in accounting, finance, or business administration Prior experience in a small business or production/media environment Experience with or curiosity about AI\-powered productivity tools Ability to work flexible hours during active production weeks Attributes We're Looking For Self\-starter who can manage recurring tasks with minimal oversight Comfortable in a dynamic, sometimes fast\-paced environment Trustworthy with sensitive financial and company information Adaptable — willing to shift between desk work and hands\-on support when production needs arise Pay: From $15\.00 per hour Benefits: Paid sick time Paid training Experience: * Bookkeeping: 1 year (Required) Work Location: In person
