Responsibilities Manage and coordinate executive calendars, scheduling meetings, appointments, and events with precision using tools like Microsoft Outlook Calendar and Google Workspace. Provide comprehensive administrative support including typing, transcription, proofreading, and data entry to ensure accuracy and professionalism in all communications. Organize and plan events, meetings, and travel arrangements, ensuring all logistics are handled efficiently from start to finish. Handle phone etiquette professionally across multi\-line phone systems and manage incoming inquiries with promptness and courtesy. Maintain office organization through filing systems, document management, and overseeing office supplies to promote a productive work environment. Support bookkeeping tasks using QuickBooks or similar software, including invoicing, expense tracking, and basic financial record keeping. Collaborate closely with C\-suite executives on project coordination, document preparation via DocuSign or other electronic signature platforms, and confidential information management. Skills Proven experience as an executive or personal assistant with strong office management capabilities. Exceptional organizational skills with the ability to multitask efficiently in a fast\-paced setting. Proficiency in productivity software such as Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Docs, Sheets), and other relevant tools. Technical proficiency in video conferencing software like Zoom or Microsoft Teams for virtual meetings. Excellent communication skills with professional phone etiquette and customer service orientation. Strong attention to detail in proofreading, transcription, data entry, and filing tasks. Experience with event planning, project coordination, bookkeeping (QuickBooks), and managing executive calendars. Ability to work collaboratively across teams while maintaining confidentiality and discretion at all times.
