Job Overview We are seeking a dynamic and highly organized Office Manager/Administrative Assistant to join our team! This vital role combines office management with administrative support, ensuring smooth daily operations and exceptional customer service. You will serve as the first point of contact for visitors and callers, manage schedules, handle clerical tasks, and support various departments to foster a productive work environment. Responsibilities Greet visitors, answer multi\-line phone systems, and provide outstanding front desk customer service with professionalism and warmth. Complete consultations and assign clients to therapists within a timely manner. Manage calendar scheduling, appointment setting, and coordinate meetings for staff and clients. Maintain organized filing systems, data entry, and accurate record keeping using tools like Microsoft Office and Google Workspace. Oversee office supplies inventory, place orders as needed, and ensure the office environment is tidy and functional. Handle clerical duties such as proofreading documents, managing correspondence, and preparing reports. Complete outreach tasks and maintain third party contracts and communication. Assist with personal assistant responsibilities including calendar management, travel arrangements, and task prioritization. Requirements Proven office management or administrative experience in a professional environment. Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and data entry skills Excellent organizational skills with the ability to multitask efficiently in a fast\-paced setting. Effective phone etiquette and experience managing multi\-line phone systems Bilingual abilities are a plus to serve diverse client needs. Knowledge of clerical tasks such as filing, proofreading, and document preparation. Customer service experience with a friendly demeanor and strong communication skills. Personal assistant or medical/dental receptionist experience is advantageous but not required. Ability to manage time effectively and prioritize tasks independently.
