We are looking for executive Admin level skills and someone who can independently manage themselves and possibly others in the future! We are a small Bathroom Remodel Company that is growing quickly and we want you on our team! Contract Remote Position. 20 Hrs/Wk to start out with potential to increase. Starting at $20\.Hr. You will travel to the office and attend meetings at LEAST, 4\-8 times per month. Although this position is mostly remote, we would like you to attend meetings in person once per week and additional meetings or team events up to a total of 8 times per month (for all meetings and events). Taylor has many years in the handyman and Bathroom Remodel fields in the Northern Colorado area. He is the Guru behind the service specific tasks and you could call him the Sales Super Hero. Steve owns and operates another business in addition to this one. He understands the business stuff and helps with the “boring” stuff that keeps a business alive. Over the past year we built, expanded, and grew Stillwater. Job Duties and Responsibilities: Work with the team: You stay in contact with your manager and your team to make sure the required daily, weekly, monthly task are completed efficiently, as well as other tasks you deem are required to get everything else done – everyone pitches in because it’s ultimately about serving the customer. There may be errands, and specific job duties because it’s also about serving the team. This position will require you to take the steering wheel of the position and keep it forward. You will be inswering the phone but also calling lists of customers and prospective customers, generating leads via facebook and other social media platforms, attending events to help market the business(es), etc. Provide comprehensive executive administrative support, including managing calendars, scheduling meetings, and coordinating appointments using tools like Microsoft Outlook Calendar and Google Workspace. Handle phone etiquette with professionalism across multi\-line phone systems, screening calls, taking messages, and directing inquiries appropriately. Organize and coordinate company events, meetings, and conferences from planning stages through execution, ensuring all logistics are handled smoothly. Manage office operations by overseeing supply inventory, maintaining filing systems, and ensuring the office environment is organized and efficient. Perform data entry, bookkeeping tasks using QuickBooks, and maintain accurate financial records including invoicing and expense tracking. Order Supplies and Project materials Assist with project coordination by tracking deadlines, preparing reports, proofreading documents for accuracy, and supporting team initiatives. Serve as a personal assistant to executives by handling confidential information with discretion, managing travel arrangements, and supporting special projects as needed. Perform Payroll duties as well as helping manage bookkeeping and some areas of the budget that relate with your position. Develop your expertise: You’re creating high performing ads with optimal ROI, posting on Google My Business, improving the Google My Business/Google Maps SEO and posting on Social Media. You may also be posting Facebook Ads. Experience in this area is helpful but NOT required. Become a trusted professional: You keep your desk neat, clean, and organized so everything’s handy and ready for use. You are VERY detail oriented. You’ll learn to use our software, handle money, understand job\-scopes, and estimating too, because you’ll know that this keeps everyone informed – from the customer to the Service Experts to the team here at the office. You have excellent phone skills, get things done and customers like speaking with you. Pathways to advancement: You will start with the basic needs the Company needs! You will be working with two of our companies at the same time. As we grow and our needs grow, you will be expanding your tasks and/or doing more specific goals, depending on the needs of the company. This position has the potential to grow into full\-time and eventually two full\-times positions, one for Stillwater and one for Ft. Collins. Other Job Requirements: You speak English very well: You are easily understandable and your accent is minimal. You can speak formally but also know when to apply English slang to relate to our customers. You love to learn: You have a high school diploma or equivalent. You may have a certificate or degree in this field but that doesn’t matter as long as you have at least 1\-3 years experience. The degree/certificate and years of experience can be interchanged with each other…We aren’t as concerned about experience as natural talent. Can you show us proof of your work and ROI? We are looking for superstars and diamonds in the rough. Is that you? You’re a tech\-savvy people person: You love the challenge you’re posed with and the adventure of doing a job well done. At the same time, you’re comfortable talking to a homeowner, storeowner, or property manager and professionally educating them in what their options are. Service recommendations, technical information, cleaning agents? No problem. You’re ready to work: 8am to 12pm Monday through Friday, Colorado’s time. You have no problem facing the adventures of the day – such as posting high performing ads and/or posts and beating your personal goals everyday. Can you make a post that will go viral? Proven experience in office management or administrative roles with a strong background in executive support. Demonstrated proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and data entry tools. Experience with QuickBooks for bookkeeping and financial recordkeeping is highly desirable. Exceptional organizational skills with the ability to multitask efficiently in a fast\-paced environment. Excellent communication skills with professional phone etiquette and customer service experience. Strong typing skills along with transcription and proofreading abilities to ensure accuracy in all documents. Familiarity with multi\-line phone systems, calendar management tools like Microsoft Outlook Calendar, and electronic signature platforms such as DocuSign. Ability to handle clerical tasks such as filing, data entry, front desk responsibilities, and general office support confidently. You will be helping us create and fine\-tune your position as we go and future positions as we go along. You will be part time at 20 Hrs/Wk, working for Still Water Bath and Shower at least during training. You will work part time for Stillwater Bath and Shower and Ft. Collins Bathroom and Home Remodeling, working up to 40 eventually. We want to try this position out and see what the needs are before going full time hours. Depending on the needs, the hours you spend on each company could change from day to day, along with the job tasks needed. We will start with one company during training and go from there.
