E\-Commerce: A highly automated online retail business that runs smoothly with modern systems and sales estimated at $2,000,000 this year. Real Estate: A growing portfolio of 130\+ rental units. While the owner handles day\-to\-day property management, the engine that powers the back office—from tracking contractor payments and tenant ledgers —is where you come in. Key Responsibilities In this dual role, your primary focus is full accounting, but you will also be acting as a trusted administrative partner to the business owner. Financial \& Bookkeeping Operations Full\-Cycle Bookkeeping: Maintain accurate records for both the e\-commerce and real estate entities using QuickBooks. AP/AR Management: Ensure timely payments to contractors/vendors and diligent tracking of rental collections. Financial Reporting: Prepare monthly financial statements and reports in accordance with GAAP. Account Analysis: Perform regular reconciliations and audits to identify and resolve discrepancies quickly. Tax Compliance: Manage ongoing governmental tax requirements and prepare all documentation for the year\-end external CPA review. Executive Administrative Support Handle Documents: The owner will send various documents from time to time that need to be filled out and simply handled or taken care of. Lease Management: You will prepare leases by updating standard forms and occasionally meeting tenants at the office for them to sign. Dept Collection Coordination: Gather documents for tenants that leave and turn over to debt collectors. File \& Data Management: Establish and maintain digital filing systems for receipts, contracts, legal documents, and tenant records to keep operations audit\-ready. Qualifications \& Skills Education: Bachelor’s degree in Accounting, Finance, or Business Administration. Software: Expert\-level proficiency in QuickBooks is essential. Strong proficiency with Microsoft Office/Google Workspace and modern project management or scheduling tools. Experience: Proven track record in corporate accounting, bookkeeping, or public accounting. Prior experience as an Executive Assistant, Office Manager, or in property management accounting is a plus. Technical Knowledge: Strong grasp of GAAP standards, double\-entry bookkeeping, and organized document management. Mindset: Exceptionally organized, discreet with sensitive financial data, able to work independently, and comfortable managing multiple moving parts for two completely different business models.
