The Legal Assistant supports three timekeepers (partners but may include counsel, associates, and team attorneys) in the corporate and trademark departments. The Legal Assistant is also expected to provide support to other secretaries and attorneys when the need arises for assistance or coverage. On the trademark\-prosecution side, the legal assistant will support attorneys in the clearance and prosecution of domestic trademarks. Will be responsible for managing all parts of trademark applications, including USPTO filings. The legal assistant will do preliminary trademark searches and drafting correspondence, assist with due diligence assessments, and produce assignment paperwork for recording, such as notarization and legalizing documents. ESSENTIAL FUNCTIONS Ability to navigate the USPTO (U.S. Patent and Trademark Office) website and knowledge of search tools for Patent \& Trademark information. Review docket\-relevant trademark correspondence and docket entries as appropriate. Draft reporting correspondence, generate periodical docket reports for the trademark department, and prepare custom reports as necessary. Prepare requests for Corrected Filing Receipts/Corrected Application Data Sheets, including corrected ADS according to USPTO requirements. Draft responses to pre\-exam formalities requests, including Preliminary Amendments and Responses to Restriction Requirements. Review incoming Office Actions, prepare report letters, including summaries of rejections, and design Response templates, including claims ready for attorney input. Finalize and file Responses. Prepare Requests for Continued Examination and Terminal Disclaimers as needed. Draft, edit, format, finalize correspondence, memos, emails, and distribute documents as requested. Proofread and redline documents, correspondence, and memoranda to ensure accuracy and quality control of copy, grammar, spelling, punctuation, and syntax in the final format. Prepare reports, tables, and Excel documents as needed for assignments. Prioritize, coordinate, and manage legal work assignments through available firm support, including file clerks, copy services, new business intake, and finance. Help assigned attorneys throughout the day while taking the initiative to suggest efficiencies or process improvements. Input and edit attorney time entries utilizing the firm’s software and confirm appropriate client and matter association. Work with the Billing Department to coordinate client bills, including preparation, review, and editing of proformas and compilation of appropriate documentation for inclusion with the final invoice to clients. Other duties as assigned. QUALIFICATIONS 4\+ years of relevant experience as a legal secretary with experience working in a law firm or professional services. Knowledge of USPTO (U.S. Patent and Trademark Office) procedures, rules and requirements preferred. Bachelor’s degree preferred. Proficient in Microsoft Office – Word, Outlook, and Excel \- records management software and general office equipment. Knowledge of iManage, ProLaw, or related software desired. Proficient knowledge of various Courts systems and filing requirements. Excellent communication skills – verbal and written required. Strong organizational skills and detail\-oriented, able to organize, prioritize and complete simultaneous assignments with minimal supervision. Ability to establish effective working relationships throughout all groups. Must be a team player, a self\-starter, and can perform well under tight deadlines. Ability to type with reasonable speed and accuracy. Ability to communicate effectively with individuals of all backgrounds. Ability to maintain confidentiality. Must be able to pass a background check. PHYSICAL REQUIREMENTS While performing the duties of this job, the employee regularly requires using hands or fingers, handling or feeling, and reaching with hands and arms. The employee frequently must sit for prolonged periods at a desk and work on a computer. The employee is occasionally required to stoop, kneel, crouch, talk, or hear. The employee must be able to lift up to 15 pounds. This job requires close vision, distance vision, and the ability to adjust focus. WORKING CONDITIONS This job is primarily in an indoor office environment with varying noise levels. There may be different degrees of temperature. The employee may be interrupted from time to time.
