Duties
- Manage front desk responsibilities, including greeting visitors, answering multi\-line phone systems, and providing outstanding customer support with professional phone etiquette.
- Handle data entry, filing, and document proofreading to maintain accurate records and ensure seamless information flow.
- Coordinate calendar management, appointment scheduling, and meeting arrangements using tools like Google Workspace and Microsoft Office.
- Oversee office supplies inventory, organize filing systems, and ensure all administrative materials are up\-to\-date and accessible.
- Support bookkeeping tasks using QuickBooks or similar accounting software, including basic invoicing and expense tracking.
- Assist with clerical duties such as typing correspondence, preparing reports, and managing incoming/outgoing mail.
- Provide exceptional customer service by addressing inquiries promptly and professionally while maintaining a friendly demeanor.
- Proven experience in office management or administrative roles with strong organizational skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
- Excellent computer literacy with the ability to adapt quickly to new software tools.
- Prior experience with QuickBooks or bookkeeping is preferred but not required.
- Strong phone etiquette skills with experience managing multi\-line phone systems
- Demonstrated clerical experience including data entry, filing, proofreading, and calendar management.
- Exceptional time management skills with the ability to prioritize tasks efficiently in a fast\-paced environment.
- Previous experience as a receptionist or personal assistant is advantageous; familiarity with medical or dental receptionist duties is a plus.
