Duties

  • Greet visitors and clients warmly, providing professional and friendly customer service at all times
  • Manage multi\-line phone systems, directing calls accurately and courteously using proper phone etiquette
  • Handle incoming correspondence, including emails, mail, and packages, ensuring timely distribution and filing
  • Maintain organized filing systems—both physical and digital—using tools like Google Workspace and Microsoft Office
  • Perform data entry tasks with high accuracy, including updating records in Accounting and other office management software and excel
  • Assist with calendar management and scheduling appointments for staff or executives
  • Support bookkeeping activities such as invoicing, billing, and basic bookkeeping
  • Manage office supplies inventory, place orders as needed, and maintain a tidy work environment
  • Provide administrative support for special projects or tasks as assigned by management
  • Skills

  • Proven experience in office management or administrative roles with strong clerical skills
  • Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
  • Familiarity with multi\-line phone systems and phone etiquette to handle high call volumes efficiently
  • Strong organizational skills with the ability to prioritize tasks and manage time effectively in a fast\-paced environment
  • Experience with data entry, filing systems, proofreading, and document management processes
  • Knowledge of basic accounting functions is a plus
  • Exceptional customer service skills to support clients professionally both in person and over the phone
  • Ability to handle sensitive information discreetly while maintaining confidentiality
