Responsibilities

  • Greet visitors and clients at the front desk, providing excellent customer service with a warm, professional demeanor
  • Manage multi\-line phone systems, directing calls accurately and courteously to the appropriate departments or personnel
  • Handle data entry, filing, and document proofreading to maintain organized records and ensure accuracy
  • Support office management tasks such as calendar management, appointment scheduling, and basic bookkeeping using QuickBooks or similar software
  • Assist with clerical duties including typing correspondence, managing office supplies, and supporting administrative projects
  • Provide bilingual support when needed to serve diverse client needs effectively
  • Maintain a tidy front desk area and ensure all office equipment is functioning properly
  • Qualifications

  • Proven experience in office administration, clerical work, or customer service roles with strong organizational skills
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools for document creation and communication
  • Familiarity with multi\-line phone systems, data entry, filing, and basic bookkeeping (QuickBooks preferred)
  • Excellent phone etiquette and interpersonal skills to handle customer inquiries professionally
  • Ability to manage time effectively in a busy environment while multitasking across various responsibilities
  • Bilingual abilities are highly desirable to support our diverse clientele
  • Previous experience as a receptionist, medical or dental receptionist, or personal assistant is advantageous but not required
