Chief Support Officer/Executive Assistant
About the Role \-
We’re a fast\-growing people\-first wellness company dedicated to helping people heal, learn, grow, and transform their lives through wellness events, retreats, education, and community. We’re looking for a sharp, trustworthy, self\-accountable, highly organized, proactive, trustworthy, and resourceful Hybrid Executive Assitant \& Operations Partner to support both the day\-to\-day operations of the business and to work alongside our Founder/CEO directly, in the Scottsdale area.
This is an in\-person role for someone who wants a front\-row seat to building two companies — a wellness events/retreats, a breathwork certification business, and a collaborative book publishing house — and who takes pride in making a founder's life easier and run beautifully. We are building something that matters — and we're looking for someone who wants their work to matter too.
This is not just a task\-based assistant role. We’re looking for someone who genuinely enjoys creating structure, systems, processes, staying ahead of problems, keeping things running smoothly behind the scenes, and bringing calm to fast\-moving environments.
You’ll play a key role in supporting our customers, community, internal systems, events, and executive operations. From inboxes and scheduling to customer experience, logistics, AI\-assisted workflows, and operational support — you’ll help ensure nothing slips through the cracks.

Position Details \-
Location: Hybrid \- Combination of Remote Work \+ In\-Person Support (Scottsdale/Phoenix Area)
Pay Range: Starting at $20/Hour (commensurate with experience — with room to grow based on experience and results)
Schedule: Full\-Time, 9:00 AM\-5:00 PM PT (With the possibility to begin part\-time.)
Additional Availability: Occasional Saturday and Sunday availability is required depending on our Event/Retreat schedule, launches, or special projects.
Responsibilities \-
Here’s a look at what your days may involve:
Executive \& Administrative Support
- Manage calendars, scheduling, rescheduling, and meeting coordination
- Support inbox management and email triage across multiple platforms
- Draft responses using approved templates and AI tools
- Track action items, follow\-ups, and ongoing priorities
- Prepare notes, documents, and materials ahead of meetings and events
- Assist with travel coordination, itineraries, and logistics as needed
- Help protect the founder’s time, schedule, and operational flow
- Manage and monitor customer\-facing communication channels (Gmail, GoHighLevel, Slack, etc.)
- Provide ongoing administrative and operational support across the team
- Assist with community platform management (MightyNetworks)
- Handle recurring operational tasks, event coordination, and calendar logistics
- Conduct membership payment audits and support recurring billing processes
- Support customer service needs with professionalism and care
- Assist with organization, systems management, and operational upkeep
- Light data entry, reporting, and dashboard updates using Google Sheets
- Use AI tools (including Claude) to assist with drafting responses, organization, and workflow efficiency
- Support ongoing improvements to systems and processes
- Help identify inefficiencies and proactively flag potential issues before they arise
- Learn and adapt to evolving systems, automations, and operational tools
- Plan and coordinate personal events, dinners, and gatherings
- Track and submit business and personal expenses; coordinate with bookkeeper and CPA
- Manage gift\-giving for family, friends, clients, and team throughout the year
- Manage pet care, household vendors, and recurring services (cleaners, landscapers, maintenance)
- Run business and personal errands — pickups, drop\-offs, returns, deliveries, and mail
- Coordinate personal appointments (medical, fitness, grooming, professional services)
- Prior experience as a Virtual Assistant, Executive Assistant, Operations Assistant, Admin, Customer Support Specialist, or similar role
- Strong organizational skills with excellent attention to detail
- Proactive mindset with the ability to anticipate needs and solve problems independently
- Strong written communication skills and professionalism
- Comfortable managing recurring tasks without constant oversight
- Calm, adaptable, and able to handle shifting priorities
- High level of discretion when handling sensitive information
- Tech\-comfortable and confident learning new platforms quickly
- Reliable transportation and ability to commute for in\-person work as needed
- Reliable internet connection
- Dedicated workspace for remote work
- Ability to work independently and communicate consistently
- Strong sense of ownership and follow\-through
- Experience supporting a Founder, Executive, or fast\-paced online business
- Background or interest in wellness, personal development, entrepreneurship, retreats, or events
- Familiarity with AI tools and modern productivity systems
- Experience improving systems, workflows, or operational processes
