  • About the Role:

    The Receptionist and Front Desk Admin is responsible for greeting guests and answering and transferring phone calls. This role is also responsible for picking up the mail, sorting the mail, and managing various shipments as well as ensuring the break rooms are stocked and ordering supplies as needed.

    Responsibilities:

  • Check in/out visitors, create temp badges and assist with badge activation for employees/vendors who require access.
  • Ensure visitors are properly escorted through the building.
  • Maintain the visitor log for auditing purposes and submit as requested.
  • Answer phones, transfer to appropriate departments and take messages.
  • Update employee phone roster.
  • Pick up mail from the post office and back mailroom daily. Sort and notify departments for distribution. Scan mail to those departments who are not local.
  • Meter outgoing mail daily and drop off at post office. Refill meter when funds are low.
  • Create labels and prepare outgoing FedEx and UPS shipments. Schedule pick up if needed or take FedEx packages to the nearest location when necessary. Track shipments and post labels in Jira tickets when necessary. Manage FedEx accounts for each department and troubleshoot issues.
  • Log all incoming shipments and require signature for employees receiving packages.
  • Sort and log all incoming checks for the Accounting department to sign for and pick up.
  • Place breakfast and/or lunch catering orders. Pick up orders when needed. Assist with the setting up and breaking down of breakfast and/or lunch meetings.
  • Manage Exec Admin email inbox.
  • Keep inventory of all three kitchens; restock and order supplies as necessary.
  • Maintain cleanliness of the lobby, including mail room area.
  • Take inventory of office supplies and restock. Distribute supplies to employees when requested and order more supplies as needed.
  • Order flowers and gifts as requested by upper management for occasions such as funerals, birth of baby, etc.
  • Scan and upload receipts to the expense reimbursement system and submit expense reports for various departments and executives.

    Operational integrity is maintained through strict adherence to facility access and visitor security protocols.*

    Daily operations are supported by proactive inventory oversight that effectively eliminates supply chain bottlenecks.*

    Administrative documentation and financial tracking are handled with meticulous focus and ownership.*

    Interdepartmental coordination is seamless, characterized by rapid response times to stakeholder inquiries.*

    Competing priorities are balanced effectively within a high\-momentum corporate setting to meet all critical milestones.*

    Candidate Requirements:

    Required:

  • High school diploma or equivalent
  • 1\-3 years working in similar role
  • Preferred:

  • Experience with Nexonia.

    Compensation and Benefits:

    Compensation range: $20/hr\-$24/hr

    Traditional Physical Requirements:

  • Requires prolonged sitting, standing, bending, stooping and stretching.
  • Requires the ability to lift 10 pounds.
  • Requires eye\-hand coordination, manual dexterity and a normal range of hearing and vision (with or without correction).
