The Food Bank Council of Michigan (FBCM) is the Partner State Association (PSA) of the seven (7\) Feeding America food banks serving all of Michigan: Feeding America West Michigan, Food Bank of Eastern Michigan, Food Gatherers, Forgotten Harvest, Gleaners Community Food Bank, Greater Lansing Food Bank, and South Michigan Food Bank. FBCM coordinates federal and state public policy engagement, administers federal/state food programs, advocates for Michigan families and fosters a culture of innovation and collaboration between the food Banks. FBCM is a 501(c)(3\); its mission is to create a food secure state through advocacy, resource management, and collaboration among stakeholders and Michigan’s unified food bank network.
Job Overview
The Agri Business Administrative Assistant plays a key support role within FBCM’s Agriculture Programs department. This position provides day\-to\-day administrative and operational support to both the Agriculture Business Development Manager and the Agriculture Programs Specialist, helping to ensure the efficient execution of FBCM’s agri\-business programs. The role serves as a vital link between FBCM’s agriculture team, its 7\-member food banks, farmers, producers, and logistics partners. All responsibilities shall be consistent with FBCM’s mission to create a food\-secure Michigan.
This position offers an annual salary of $40,000\-45,000 (based on expertise), and competitive benefits. This position is a hybrid office/remote work and is based in our Lansing, Michigan office.
Responsibilities and DutiesCore Administrative Support
· Provide day\-to\-day clerical support to the Agriculture Business Development and Programs leads.
· Manage calendars, schedule meetings, and prepare necessary agendas or meeting minutes.
· Maintain organized digital and physical filing systems for departmental records and reports.
· Assist with grant documentation by tracking budgets and compiling expense receipts for reporting.
Logistics \& Food Bank Order Coordination
· Be the main point of contact for seven\-member food banks regarding routine inquiries and program updates.
· Process and track food purchase orders, ensuring timely delivery and accurate record\-keeping.
· Coordinate transportation logistics, including scheduling pickups and communicating with carriers.
· Maintain the food offers catalog and distribute availability lists to partner food banks.
· Assist with maintaining the food offers catalog and distribution to food banks.
Database \& Platform Management
· Update and maintain the contact database for farmers, producers, and vendors.
· Serve as the primary operator for the MealConnect platform, responsible for posting offers and tracking donations.
Operation Assistance
· Support agriculture programs (produce, dairy, protein) through general data entry and status tracking.
· Assist in gathering documentation for audits and national network reporting requirements.
· Collaborate with the finance team to process purchase orders and ensure billing accuracy.
· Participate in team events and perform other general office duties as assigned.
Qualifications
Education \& Experience
· Associate’s degree or higher in Agriculture, Business Administration, Supply Chain, or a related field preferred; equivalent combination of education and experience considered.
· Prior 3\+ years administrative experience, ideally in agriculture, food systems, nonprofit, or supply chain environment.
· Experience working with food banks, nonprofit organizations, or hunger relief programs a plus.
Skills \& Competencies
· Proficiency in Microsoft Office Suite (Excel, Word, Outlook); experience with data entry and database management.
· Strong organizational skills with the ability to manage multiple priorities and meet deadlines in a demanding environment.
· Excellent written and verbal communication skills.
· Ability to build and maintain professional relationships with diverse stakeholders including farmers, food bank staff, vendors, and community partners.
· Strong attention to detail and accuracy in data entry, order processing, and record\-keeping.
· Ability to work both independently and collaboratively as part of a team.
· Basic math skills (addition, subtraction, multiplication, division) for order and budget tracking.
· Commitment to FBCM’s mission of food security and hunger relief in Michigan.
· Ability to collaborate with people of diverse backgrounds.
Work Environment
· Hybrid work arrangement – combination of remote work and in\-office presence at FBCM’s Lansing/Okemos, MI office.
· Work is primarily performed in an office environment with standard office equipment.
· Occasional work in a warehouse\-type environment.
· Occasional travel up to 5% of the time, with visits to food banks, farms, or vendor locations within Michigan.
· Valid driver’s license and clean driving record required; must be insurable under company vehicle insurance.
