The Administrative Assistant provides administrative and clerical support to assigned programs within the Teaching \& Learning division. This position supports one or more supervisors by coordinating office operations, managing records and communications, and assisting with meetings, events, and program logistics. The Administrative Assistant helps ensure efficient program operations by maintaining accurate documentation, supporting administrative processes, and serving as a key point of contact for staff, districts, and external partners.
ESSENTIAL FUNCTIONS
Provide administrative support to assigned programs and supervisors, including managing correspondence, maintaining records and files, and supporting daily office operations.
Coordinate logistics for meetings, workshops, and events, including scheduling, preparing materials, securing facilities, and documenting meeting outcomes.
Maintain databases, spreadsheets, reports, and filing systems to ensure accurate recordkeeping and timely access to program information.
Serve as a point of contact for internal staff, districts, and external partners by responding to inquiries, routing information, and supporting effective communication.
Assist with administrative processes, including contract preparation, hiring support, purchasing, and other operational tasks, to ensure efficient program implementation.

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES
Knowledge of:
Knowledge of general office procedures, administrative practices, and organizational systems that support efficient office operations.
Knowledge of office technology and productivity tools, including word processing, spreadsheets, databases, and virtual meeting platforms.
Knowledge of recordkeeping practices, document management, and data organization.
Knowledge of basic budgeting, purchasing, and administrative processes that support program operations.

REQUIRED QUALIFICATIONS
Education
High School Diploma or GED Certificate
Experience
Three years of applicable office experience.
Knowledge of and experience in telephone etiquette.
An equivalent combination of education, training, and experience which provides the required knowledge, skills, and abilities to perform the essential functions of the job.
Ability to work effectively with diverse individuals and groups.
Background Requirements
Successful completion of a Washington State Patrol WATCH check is required. A fingerprint\-based background check through the Washington State Patrol and FBI in accordance with OSPI and district policy.
Preferred Qualifications
AA degree, and four years of administrative support experience.
Bilingual/Bicultural skills relevant to the communities served.
WORKING CONDITIONS/PHYSICAL REQUIREMENTS
Work Environment
Work is performed primarily in a professional office setting within the ESD 105 office buildings. The position involves regular computer\-based work, including managing records, communication, and administrative systems.
The role requires frequent interaction with staff, district personnel, and external partners through phone, email, and in\-person communication. The work environment is collaborative and moderately active, with periodic interruptions and shifting priorities related to meetings, events, and program needs. Occasional remote work or travel for meetings or events may occur based on program requirements and supervisor approval.
Physical Demands
The usual and customary methods of performing the job’s functions require the following conditions:
Significant (66%\+ of the time):
Sitting for extended periods while performing computer\-based work, including typing, data entry, and virtual communication. Using hands and fingers for keyboarding, operating office equipment, and handling documents. Viewing computer screens and reading detailed documents. Speaking and hearing to communicate effectively during meetings, phone calls, and virtual interactions.
Frequent (33\-66% of the time):
Repetitive hand, wrist, and arm movements associated with keyboarding and use of office technology. Standing and walking to coordinate office tasks, support meetings, and interact with staff.
Occasional (up to 33% of the time):
Setting up and arranging meeting, training, or event spaces. Lifting, carrying, or transporting materials such as files, supplies, or equipment (typically up to 20 lbs). Working occasional evenings or weekends to support meetings, events, or program activities.
