Job Summary

We are seeking a dynamic and highly organized Executive Assistant to support our team and ensure smooth daily operations within our office environment. Responsibilities

  • Manage complex calendars, schedule appointments, and coordinate meetings with precision and efficiency
  • Handle incoming calls using multi\-line phone systems, practicing professional phone etiquette and providing excellent customer support
  • Prepare, proofread, and distribute correspondence, reports, and presentations with attention to detail and accuracy
  • Organize and maintain filing systems, both physical and digital, ensuring easy retrieval of documents
  • Assist with bookkeeping tasks using QuickBooks or similar accounting software to track expenses and manage invoices
  • Serve as a front desk representative by greeting visitors, managing office supplies, and overseeing general office operations
  • Support data entry tasks, including updating databases and maintaining accurate records in Google Workspace and Microsoft Office applications
  • Coordinate travel arrangements, event planning, and calendar management for executives to optimize their productivity
  • Skills

  • Proven experience in office management or administrative roles with strong organizational skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools
  • Excellent computer literacy with the ability to adapt quickly to new software programs
  • Bilingual abilities are highly desirable to effectively communicate with diverse clients and team members
  • Strong typing skills with high accuracy; familiarity with proofreading is a plus
  • Experience in clerical tasks such as filing, data entry, and document proofreading
  • Exceptional customer service skills combined with professional phone etiquette and time management capabilities
  • Knowledge of front desk procedures, multi\-line phone systems, medical or dental receptionist duties is advantageous
  • Personal assistant experience or medical/dental receptionist background will be considered valuable
