The Role

We are looking for a high\-energy, detail\-oriented, and hyper\-organized Executive Assistant to report directly to one of our Co\-Founders. This is a unique role that sits at the intersection of operations, HR and product. You will take ownership of the day\-to\-day business engine so the Co\-Founders can focus on high\-level strategy and growth.

You are just as comfortable running a payroll report as you are proofing a new product prototype or updating a website banner. You are a problem\-solver who thrives in the "scrappy" phase of a start\-up and isn't afraid to roll up your sleeves.

Key Responsibilities

1\. People Operations \& Talent (HR)

* Hiring: Lead the end\-to\-end recruitment process for new roles, from drafting job descriptions and sourcing candidates to screening and onboarding.

* Payroll \& Benefits: Manage the bi\-weekly payroll process and serve as the point of contact for team benefits and compliance.

* Contractor Management: Act as the primary liaison for select contractors (e.g. Financial analyst, Website developer, etc.). Ensure work is delivered on time, within budget, and that all contracts are up to date and payments are made.

2\. Product \& Quality Control

* Quality Control: Oversee quality control checks for new shipments and toys, ensuring our high standards are met.

* Supply Chain Support: Assist the Co\-Founder in tracking production timelines and inventory movements.

3\. Digital Operations

* Website Updates: Execute basic front\-end updates for our e\-commerce site (Shopify), e.g. product and pricing updates.

* Website Projects: Manage website projects \- e.g. working with a website developer to add a new product collection, redesign a key page, etc.

4\. Executive \& Administrative Support

* Product support: Ensure all administrative tasks are completed to support new product development, e.g. filing copyrights, ISBNs, barcodes, etc.

* Sales tax: Review monthly sales tax calculations from analyst, file and pay sales tax.

* Project Management: Track the Co\-Founder’s top priorities and ensure deadlines are met across various departments.

* Meeting Coordination: Prepare agendas, take notes during key stakeholder meetings, and hold the team accountable for "next steps."

* Special Projects: Take the lead on "ad\-hoc" initiatives.

Qualifications

* Experience: Experience in operations, project management, executive support or a similar chief of staff style role.

* Organizational Mastery: You are the person who has a spreadsheet for everything. You never let a detail slip through the cracks.

* Tech Savvy: Comfortable with Google Suite, Shopify (eCommerce software), Gusto (payroll software), and project management tools.

* Communication: Exceptional written and verbal communication skills. You can represent the Co\-Founder professionally in emails and meetings.

* Discretion: Ability to handle sensitive financial and personnel information with total confidentiality.

* Adaptability: You are comfortable with ambiguity and can pivot quickly when priorities shift.

* Location: Mix of in\-person (South San Francisco) and work from home.
