Qualifications:
- 5\+ years of administrative experience supporting senior executives, preferably at the C\-suite or Chairman level
- Absolute discretion with sensitive and confidential information
- Exceptional organizational skills. with a proven ability to manage competing priorities while maintaining meticulous attention to detail
- Exceptional written and verbal communication skills, with the professionalism and discretion required to represent the Chairman's Office
- Proactive, solutions\-oriented mindset — anticipates needs and acts before being asked
- High emotional intelligence and the ability to build trusted relationships at all levels
- Composure and flexibility in a fast\-paced, high\-visibility environment
- Proficiency in Microsoft Office Suite and virtual meeting platforms; experience with expense and travel tools preferred

- Serve as the first point of contact — greeting guests and stakeholders with professionalism and warmth
- Manage incoming calls and visitor inquiries; maintain a polished, welcoming front office environment
- Coordinate visitor access and security protocols
- Receive food deliveries for both individual orders and group meetings; if group order, direct delivery person to the appropriate drop\-off location, oversee any required setup and remain present with visitor to reduce risk of any security issues.
- Collect, review, and submit expense reports accurately and on time for select members of the Chairman's Office; reconcile corporate credit card statements
- Maintain organized records of expense reports that are managed on behalf of the Chairman's Office
- Manage ticket inventory for premier venues including the Fox, Stifel, Jazz St. Louis, The Sheldon, STL Symphony, and the Muny; manage both electronic and physical ticket fulfillment and distribution
- Maintain accurate allocation records and serve as the primary point of contact for ticket requests; take in approximately 1,000 requests per month via a Microsoft Forms intake system
- Administer United Way show tickets for the donation campaign — identify shows, manage winner lists, issue designated show tickets, track employee donations, follow up on acceptance, and reallocate any unclaimed tickets to prevent waste
- Manage the Chairman's card program including sourcing, tracking and coordination with calligrapher for addressing and mail timely
- Routinely run reports to capture and remove terminated employees from the mailing list
- Create Steward employee luncheon tags/stickers
- Coordinate all incoming and outgoing courier and delivery services; track shipments and confirm delivery
- Manage courier provider relationships and ensure proper handling of sensitive or high\-value items
- Support Chairman's office staff with day\-to\-day operations including incoming/outgoing mailing, office supplies, invoices, FedEx shipments, shared address book updates, scanning, running postage, maintaining office equipment to include postage machine and copier; support various special projects as assigned
- Compose handwritten thank you notes as needed
- Coordinate all administrative duties for Chairman's authored books—ordering from the Publisher to maintain sufficient inventory levels of books onsite and at warehouse while keeping an accurate spreadsheet of distribution

Certain states and localities require employers to post a reasonable estimate of salary range. A reasonable estimate of the current base pay range for this position is $38,400\-$48,000 annually. Actual salary will be based on a variety of factors, including shift, location, experience, skill set, performance, licensure and certification, and business needs. The range for this position in other geographic locations may differ. Certain positions may also be eligible for variable incentive compensation, such as bonuses or commissions, that is not included in the base pay.
