Position Summary:
The Business Office Assistant provides administrative and revenue cycle support by performing front and back office tasks such as registration, scheduling, billing follow\-up, and customer service. This role works closely with patients, providers, and payer representatives to ensure accurate demographic and insurance information, timely claim submission, and effective resolution of account inquiries. Collaborating with business office and clinical teams, the Business Office Assistant helps maintain organized workflows and clear communication that support daily operations. Through attention to detail, professionalism, and responsive service, the position contributes to financial integrity and a positive patient experience in alignment with Trinity Health standards and policies.
Key Responsibilities:
- Perform front and back office tasks such as registration, scheduling, insurance verification, and basic billing follow up.
- Interact with patients and families to obtain accurate demographic and insurance information and respond to questions about accounts or processes.
- Enter and update data in electronic systems, ensuring accuracy and completeness for billing and reporting.
- Work claim or account work queues as assigned, helping resolve denials or outstanding balances in collaboration with other revenue cycle staff.
- Maintain confidentiality of patient financial and health information and follow privacy and security policies.
- Participate in training, team meetings, and continuous improvement efforts within the business office.

- High school diploma or equivalent preferred.
- Minimum of six (6\) months clerical or office experience required; medical office environment preferred.
- Prior experience using computerized systems for scheduling, information storage, and retrieval preferred.
- Customer service experience or training required (minimum of six months preferred).
- Knowledge of medical terminology and coding preferred but not required.
- Strong interpersonal and customer service skills with the ability to interact professionally with patients, staff, and providers.
- Effective verbal and written communication skills, including conflict resolution.
- Ability to communicate clearly in person and by telephone, demonstrating good judgment in handling patient inquiries.
- Strong organizational and problem solving skills with the ability to multitask in a fast paced environment.
- Proficiency with appointment scheduling software and electronic systems preferred.
- Ability to maintain confidentiality and handle sensitive information in compliance with HIPAA and organizational policies.

The Business Office Assistant requires the ability to perform office based work, including sitting for 6–8 hours per shift with intermittent standing and walking; frequent keyboarding, mouse use, and handling of documents; and fine motor skills needed for computer and office equipment operation. Occasional lifting or moving of office materials weighing up to 20 pounds may be required. Adequate vision, hearing, and communication abilities are essential for effective job performance.
