We are seeking a highly organized and experienced Administrative Assistant to support our executive team and assist with day\-to\-day operations in our growing tax and bookkeeping firm.

This role is ideal for someone who has previously worked in a tax preparation office, bookkeeping firm, or accounting environment and understands the workflows, terminology, and client needs within the industry.

At the core, we are looking for an administrative professional with hands\-on experience in tax and bookkeeping operations. Bookkeeping experience and familiarity with QuickBooks Online (QBO) are highly preferred.

Key Responsibilities

  • Provide administrative support to the executive team
  • Manage calendars, appointments, and scheduling
  • Organize and monitor email inboxes
  • Coordinate client communications and follow\-ups
  • Track deadlines and ensure projects are completed on time
  • Maintain internal trackers, reports, and task lists
  • Assist with onboarding new clients and collecting documents
  • Support tax return and bookkeeping workflows
  • Prepare invoices and assist with billing tasks
  • Coordinate across team members to ensure smooth operations
  • Required Qualifications

  • Previous experience working in a tax preparation firm, bookkeeping company, CPA firm, or accounting office
  • Strong administrative and organizational skills
  • Excellent attention to detail
  • Ability to manage multiple priorities in a fast\-paced environment
  • Strong written and verbal communication skills
  • High level of professionalism and discretion
  • Self\-starter who takes initiative and solves problems independently
  • Preferred Qualifications

  • Bookkeeping experience
  • Proficiency in QuickBooks Online (QBO)
  • Experience with tax software or tax preparation workflows
  • Prior experience with tax and bookkeeping firms
  • Familiarity with tools such as Google Workspace, Slack, Asana, and Microsoft Excel
  • Bachelor’s degree preferred but not required
  • Pay: $20\.00 \- $30\.00 per hour
