Position Overview:
The Administrative Assistant for the Nurse\-Family Partnership program manages referrals across multiple databases, verifies Medicaid eligibility, processes Medicaid billing and maintains accurate client records. This role requires inputting program data into web\-based systems, preparing reports, attending team meetings and state data calls, and supporting nurses by tracking forms and coordinating client transfers. Key responsibilities include sending welcome letters, organizing materials, handling clerical functions, and training new staff on proper documentation procedures, all while ensuring compliance with program guidelines. This position also includes administrative tasks for the organization as needed and as outlined below.
Key Responsibilities:
● Manage referrals across multiple databases and update referral partners on the outcomes of referrals.
● Verify Medicaid eligibility and processing Medicaid bills.
● Secure Medicaid provider status for staff.
● Use reports to prepare NFP supervisor for reflective supervision.
● Utilize computerized data entry equipment and various word processing, spreadsheet, and file maintenance programs to enter, store, and retrieve information as requested or as necessary, summarizing data in preparation for standardized reports.
● Attend the weekly NFP team meeting and take minutes.
● Input Nurse\-Family Partnership data in a timely and accurate manner into the web\-based information system; comply with or assist in compiling statistical information for reports.
● Attend monthly data calls with the State of Colorado.
● Meet with the nurses monthly to review forms that are late or missing.
● Send welcome letters to new clients upon their enrollment in the Nurse\-Family Partnership.
● Perform program support tasks, such as organizing forms, photocopying, filing, ordering and maintaining program materials and educational handouts, and making reminder calls for visits as requested.
● Carry out general clerical functions, such as sorting, routing, and distributing mail, typing materials from typed or handwritten notes, and preparing correspondence, reports, and other documents.
● Become familiar with the data entry manual and train new nurses on how to correctly complete forms; use this manual to ensure that forms are entered accurately into the web\-based system.
● Coordinate incoming and outgoing transfers to and from other Nurse\-Family Partnership sites along with the corresponding paperwork.
● Office Operations: Handling mail, ordering supplies, answering phones and maintaining the office phone system , and maintaining files. Prepare staff meeting agendas Assist with the process for in\-kind donations, Organize and oversee storage areas Maintain office equipment and oversee office services Assist with technology maintenance and updates
● Meeting/Event Support: Scheduling meetings, preparing agendas, recording minutes, and supporting logistics for community and/or fundraising events.
● Oversee and provide direction to office volunteers (childcare) to who support administrative projects
● Basic Bookkeeping: Processing invoices, making deposits, and assisting with financial tracking or QuickBooks entry.
Qualifications:
● High school diploma
● 1 year of experience in data entry preferred
● Strong communication and interpersonal skills
● Ability to work independently and as part of a team
Preferred Skills:
● Proficiency in Google Spreadsheets
● Bilingual in English and Spanish

Salary is dependent on experience and education. Competitive benefits package includes medical, dental, life, and vision insurance, employee assistance program, short\-term disability policy, and a flexible work schedule. Starting Salary $24\.00 to 29\.00
