The University of Tennessee Foundation, Inc (UTFI) invites applications and nominations to fill the position of Constituent Management II. Reporting to the Senior Director of Gift Import and Processing, the Constituent Management II is responsible for reviewing, coding, and posting gift data into the constituent management system in compliance with internal guidelines and industry standards.
This role will support the accurate recognition of gifts and the integrity of donor records by ensuring data accuracy and timely processing.
Job responsibilities include, but are not limited to:
Gift Import \& Processing: Retrieve, open, and organize daily USPS and courier deliveries containing contributions. Sort documentation for processing by the GIP team. Review donor correspondence and supporting documentation to determine correct gift type, coding, and designation. Accurately and timely enter gifts and pledge information into the donor CRM system in accordance with internal guidelines and CASE standards. Release funds to UTFI’s bank account using the remote deposit capture scanner. Maintain secure handling and tracking of all physical gift documentation until posting. Assist with acknowledgment letter preparation and documentation forwarding as needed. Maintain consistent and accurate donor records, participating in regular quality control reviews and daily transaction verifications.
Team Support \& Operational Assistance: Participate in team meetings, trainings , and knowledge\-sharing sessions. Assist with routine audits and data cleanup projects. Provide general administrative support for the Gift Import \& Processing discipline as needed. Maintain a working knowledge of UTFI gift processing policies and procedures. Stay informed of updates to internal systems and protocols. Assist with special projects or temporary duties as assigned by the Assistant Director of Gift Import or Director of Gift Import and Processing.
Specialized Responsibilities \& Cross Training: The Constituent Management Specialist II is assigned both primary and secondary responsibilities aligned with the evolving needs of the GIP and Constituent Management teams. Constituent Management team members are cross trained across multiple functions, with each task assigned both a primary and secondary staff member. Team members are expected to remain up to date on process changes and be capable of seamlessly stepping in when the primary staff member is unavailable.
Required Education and ExperienceThe candidate who fills the Constituent Management Specialist II position is required to have:
- High School diploma
- 3\+ years of experience with data entry, financial processing, or administrative support experience
- Strong attention to detail, accuracy, and organization
- Proficiency in Microsoft Word, Excel, Teams and Adobe
- Excellent communication and customer service skills
- Ability to maintain confidentiality and meet deadlines
- Associate’s or bachelor’s degree in Business , Accounting, Communications, or related field
- Experience in higher education, nonprofit advancement, or gift processing
- Familiarity with Salesforce Ascend (ACE), Oracle DASH, or similar CRM/financial systems

A valid driver’s license with an acceptable driving record is required due to travel responsibilities of the position. UTFI reserves the right to consider all appropriate circumstances.
