Overview
We are seeking a dynamic and highly organized Executive Assistant to join our team and support our Founder with efficiency and professionalism. This vital role involves managing his complex schedules, coordinating communications, and handling a variety of administrative tasks to ensure smooth daily operations. The ideal candidate will be proactive, extremely detail\-oriented (very important), and possess excellent interpersonal skills to foster positive relationships both internally and externally. Duties
- Manage and maintain his executive and home calendars, scheduling meetings, appointments, and travel arrangements with precision.
- Screen incoming calls using multi\-line phone systems, prioritize messages, and direct inquiries appropriately while demonstrating excellent phone etiquette. Follow up promptly
- Prepare, proofread, and edit correspondence, reports, presentations, and other documents to ensure clarity and professionalism.
- Handle front desk responsibilities including greeting visitors, managing office supplies, and maintaining a welcoming environment.
- Coordinate logistics for meetings and events, including venue setup, catering arrangements, and technical support as needed.
- Perform data entry tasks using computer skills such as Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
- Organize files electronically and physically through efficient filing systems; assist with record\-keeping and document management.
- Support bookkeeping activities utilizing QuickBooks or similar accounting software for basic financial record maintenance.
- Provide customer support by addressing inquiries promptly via phone or email; assist with customer service tasks to enhance client satisfaction.
- Manage personal assistant duties including calendar management for executives, travel planning, and task prioritization to optimize productivity.
- Proven experience as an Executive and or Personal Assistant or in a similar administrative role supporting a senior leader juggling multiple initiatives.
- Strong office management background with clerical experience across diverse administrative functions.
- Demonstrated proficiency with computer literacy including Microsoft Office (Word, Excel), Google Workspace (Gmail, Calendar), data entry, proofreading, and filing systems.
- Excellent organizational skills with the ability to multitask efficiently in a fast\-paced environment.
- Prior experience working with ADHD and AuDHD executives is highly desirable.
- Strong time management skills with the ability to prioritize tasks effectively while maintaining attention to detail.
