Duties

  • Greet visitors, clients, and staff with enthusiasm and professionalism, ensuring a warm and welcoming atmosphere
  • Manage multi\-line phone systems to handle inquiries efficiently, directing calls to appropriate departments or personnel
  • Maintain accurate records through data entry, filing, and proofreading of documents using Microsoft Office and Google Workspace tools
  • Schedule appointments, manage calendars, and coordinate meetings with attention to detail and time management skills
  • Handle office supplies inventory, reorder as needed, and ensure the front desk area remains organized and professional
  • Assist with clerical tasks such as photocopying, faxing, and preparing correspondence to support office operations
  • Provide customer support by addressing inquiries promptly, demonstrating excellent phone etiquette and interpersonal skills
  • Experience

  • Prior office management or administrative experience in a busy environment is preferred
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Experience with multi\-line phone systems and office equipment operation
  • Bilingual abilities are highly desirable to effectively communicate with diverse clientele
  • Demonstrated organizational skills with the ability to multitask efficiently in fast\-paced settings
  • Previous roles as a receptionist, medical receptionist, dental receptionist or personal assistant are advantageous
  • Knowledge of clerical procedures such as filing, data entry, proofreading, and calendar management is essential
