Job Summary
We are seeking a dynamic and highly organized Administrative Assistant to join our team! You will serve as the first point of contact for visitors and callers, manage schedules, handle clerical tasks with precision, and contribute to a positive office environment. Duties
- Greet visitors professionally at the front desk, ensuring a warm and welcoming atmosphere
- Manage multi\-line phone systems with excellent phone etiquette, directing calls efficiently
- Maintain organized filing systems and perform data entry tasks accurately using Microsoft Office and Google Workspace tools
- Schedule appointments, coordinate calendars, and assist with meeting preparations
- Handle correspondence, proofread documents for accuracy, and perform clerical duties such as photocopying and faxing
- Support office management activities including supply inventory, record keeping, and basic bookkeeping using QuickBooks or similar software
- Provide exceptional customer service by addressing inquiries promptly and supporting client or patient needs as a medical or dental receptionist if applicable
- Proven office experience with strong organizational skills and attention to detail
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Familiarity with multi\-line phone systems and phone etiquette best practices
- Bilingual abilities are highly desirable to serve diverse clients effectively
- Strong typing skills along with excellent proofreading capabilities
- Experience with data entry, filing systems, and general clerical tasks in an office environment
- Knowledge of office management procedures, including calendar management and time management strategies
- Personal assistant experience or receptionist background is a plus
- Ability to handle confidential information discreetly while maintaining professionalism
