Duties
- Manage complex calendars, schedule appointments, and coordinate meetings for executive leadership with meticulous attention to detail.
- Handle incoming calls using multi\-line phone systems with professionalism and excellent phone etiquette, directing inquiries appropriately.
- Maintain organized filing systems, perform data entry, and ensure accurate record\-keeping using tools like Microsoft Office, Google Workspace, and QuickBooks.
- Assist with office management tasks including supply procurement, mail distribution, and front desk responsibilities to create a welcoming environment.
- Support bookkeeping activities such as invoicing, expense tracking, and basic bookkeeping using QuickBooks or similar software.
- Provide personal assistant support by preparing documents, proofreading correspondence, and managing travel arrangements.
- Deliver exceptional customer service by supporting clients and visitors with professionalism and bilingual communication skills when needed.
- Conduct administrative duties such as proofreading documents, managing email correspondence, and supporting data entry projects efficiently.
- Coordinate calendar management for executives to optimize their time and prioritize urgent matters effectively.
- Proven experience in office management or administrative roles with at least some clerical experience in a professional setting.
- Strong computer literacy including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and basic accounting software like QuickBooks.
- Excellent organizational skills with the ability to multitask seamlessly in a fast\-paced environment.
- Exceptional communication skills with strong phone etiquette; bilingual abilities are highly desirable.
- Experience handling multi\-line phone systems and front desk operations confidently.
- Demonstrated ability to perform data entry accurately while maintaining attention to detail.
- Prior experience as an executive assistant or personal assistant is preferred; familiarity with medical or dental receptionist duties is a plus.
- Strong time management skills with the ability to prioritize tasks effectively under pressure.
- Knowledge of bookkeeping practices including invoicing, filing financial documents, and basic bookkeeping procedures.
