Job Overview:

The Assistant General Manager supports the General Manager to meet Board goals and objectives and is responsible to ensure effective and efficient day\-to\-day operations of the association and staff. Additionally, the Assistant General Manager is a continuous supporter of the property’s vision and philosophies, and FirstService Residential’s commitment to client, staff, and community. This position reports directly to the General Manager.

Compensation: $75,000 \- 90,000

*FirstService Residential will compensate the successful candidate in accordance with the posted range. The salary or wage paid to the successful candidate will be commensurate with experience, education, and specific job responsibilities. For positions designated at a client's property, the salary or wage will also be premised upon the client's directive. The base pay range is subject to change and may be modified in the future.*

Your Responsibilities:

Leadership \& Operations

  • Partner with the General Manager and Board of Directors to implement the Association’s strategic plan, goals, and objectives.
  • Support overall management functions and maintain a positive, professional working relationship with the General Manager, Board, staff, and homeowners.
  • Provide “buddy system” support for the General Manager during breaks, absences, or out\-of\-office periods.
  • Staff Oversight \& Team Support

  • Supervise, train, and support onsite staff.
  • Oversee at least one direct report.
  • Oversee team functions related to Compliance, Architectural Review (ARC), and Lifestyle operations.
  • Ensure consistent performance, accountability, and adherence to company standards.
  • Compliance \& Governance

  • Oversee covenant compliance, enforcement processes, and proper recordkeeping.
  • Respond to homeowner complaints and concerns related to compliance matters.
  • Read, interpret, and apply Governing Documents, demonstrating a clear understanding of document hierarchy and provisions.
  • Ensure adherence to Association policies and procedures, as well as applicable corporate, civil code, and state/federal regulations.
  • Vendor \& Contract Management

  • Assist in managing contracts and agreements to ensure proper execution and accurate financial tracking.
  • Oversee vendor performance to ensure work meets contract specifications and Association standards, with a strong focus on landscape contractors and consultants.
  • Coordinate bid and Request for Proposal (RFP) processes, including soliciting, reviewing, and compiling proposals for Board consideration.
  • Financial \& Administrative Support

  • Assist the General Manager with billing and invoice processing through FirstService Residential systems.
  • Ensure financial obligations related to contracts and services are properly documented and tracked.
  • Meetings \& Reporting

  • Meet regularly with the General Manager (weekly or as directed).
  • Attend Board of Directors and Committee meetings as required.
  • Facilitate assigned committee meetings and homeowner orientations.
  • Prepare clear, professional reports, correspondence, and Board packet materials as requested.
  • Provide monthly compliance status reports to the General Manager.
  • Community Relations \& Communication

  • Meet with homeowners as needed to address concerns and support compliance initiatives.
  • Prepare resident\-facing documents requiring Board or Committee approval (e.g., architectural applications, variance requests).
  • Utilize company systems (Connect, SmartWebs) to manage workflows and communicate with residents.
  • Respond to client and homeowner inquiries within one business day.
  • Site \& Field Responsibilities

  • Conduct regular site inspections and community drive\-throughs.
  • Ensure follow\-up on inspection findings and compliance actions..
  • Must have reliable transportation and ability to travel throughout the community.
  • Oversite of projects as assigned by General Manager
  • Customer Service \& Front Desk Support

  • Perform front desk/customer service responsibilities as needed.
  • Maintain a high level of professionalism and responsiveness in all resident interactions.
  • General Expectations

  • Maintain an organized and professional workspace.
  • Complete all required company training and adhere to FirstService standards of operation, including FirstService University coursework.
  • Utilize technology effectively to perform job duties and enhance communication.
  • Perform additional duties and special projects as assigned by the General Manager or Board of Directors.
  • Other duties as assigned.
  • Skills \& Qualifications:

  • Ability to work under tight deadlines and consistently meet deadlines.
  • Exhibit professionalism, professional attire and demeanor at all times.
  • Maintain reliable transportation to community, if applicable.
  • Ability to learn new software and applications quickly.
  • Demonstrates effective communication skills consisting of oral, written and listening skills.
  • Demonstrates problem\-solving abilities.
  • Ability to draft correspondence and respond to inquiries and client concerns effectively and independently.
  • Ability to multitask and work efficiently with periodic interruptions and unscheduled homeowner drop ins.
  • Must be proficient with computer programs needed for specific position including Microsoft Outlook, Word, Excel, and Power Point.
  • Demonstrates organizational skills and ability to independently prioritize daily workload.
  • Must have minimum typing speed of 40 WPM.
  • Education \& Experience:

  • A 2\-year college degree, preferred
  • 4 years’ experience plus in property management.
  • Experience with conduct meetings a plus.
  • Physical Requirements and Working Environment:

  • Must be able to lift 50 lbs.
  • Must have finger dexterity for typing/using a keyboard.
  • Work is performed in a variety of environmental conditions, with exposure to outdoor temperatures, weather variations, traffic and equipment noise, equipment vibrations, vehicle and/or chemical fumes, chemicals such as cleaning solvents and grease, machinery and their moving parts and dust.
  • Work duties may require the ability to stand or walk on hard surfaces for frequent and prolonged periods of time.
  • Must be able to respond to requests and communicate to staff, coworkers, clients, and vendors.
  • Consistent and regular attendance required.
  • Some exposure to dust and noise.
  • Some heavy lifting, standing, climbing.
  • Hours over and above normal office hours will occur, including evenings, holidays, and some weekends. Schedule is subject to change based on business needs. Full\-time position: Standard schedule is Monday through Friday, 9:00 a.m. to 5:00 p.m. Evening and weekend hours will be occasionally required as needed to support staffing needs, event coverage, and Board or committee meetings.

    *This position is fully onsite at the assigned jobsite location. The essential functions of the role require in\-person attendance, and remote work accommodations are not available*

  • Valid Driver’s License and State Mandated Vehicle Insurance.
  • May be required to work overtime as needed and approved by supervisor, including occasional evening meetings or weekends.
  • Schedule is based on business needs.
