Administrative Assistant – Real Estate Transaction Coordination

Position Summary
The Administrative Assistant will provide critical support to our transaction coordinators and management team. This role requires a highly organized individual who is comfortable working within multiple digital platforms simultaneously and can manage time\-sensitive tasks with accuracy and professionalism. Familiarity with Colorado real estate practices, regulations, and forms is a significant advantage.
Key Responsibilities
- Enter and maintain administrative tasks within the team’s project management system, ensuring accurate assignment, status updates, and deadline tracking
- Input and manage property listings into the MLS (Multiple Listing Service), including accurate data entry of property details, photos, disclosures, and required fields in compliance with MLS rules and standards
- Assist in uploading and organizing required documentation into agent compliance systems, ensuring all files meet brokerage and regulatory requirements
- Monitor transaction timelines and communicate with team members regarding outstanding tasks or documentation
- Maintain organized digital files and records throughout the transaction lifecycle
- Support the team with general administrative duties as needed, including correspondence, scheduling, and data management
- High school diploma or equivalent required; associate’s or bachelor’s degree preferred
- Prior experience in real estate administration, transaction coordination, or a related field is preferred
- Proficiency with MLS platforms (REColorado or similar) strongly preferred
- Experience with real estate compliance or document management systems (such as SkySlope, Dotloop, or Brokermint) a plus
- Familiarity with Colorado real estate contracts, forms, and regulatory requirements is highly preferred
- Strong proficiency with project management tools (such as Asana, Monday.com, Trello, or similar)
- Exceptional attention to detail and data entry accuracy
- Strong organizational and time management skills with the ability to manage multiple priorities
- Effective written and verbal communication skills
- Ability to work independently in a remote or hybrid environment
