Overview
Join our dynamic team as an Aesthetic Patient Coordinator / Medical Office Coordinator for our upscale Medspa and Plastic Surgery practice. This is an in\-office position that initially consists of approximately 3 days per week, including 2 operating room days and 1 clinic/consultation day, with the opportunity to transition into a full\-time long\-term role as the practice continues to grow.
This energetic and patient\-focused role is essential in helping our office run smoothly while providing exceptional customer service and support to both patients and the clinical team. We are looking for someone who is organized, proactive, professional, personable, polished, and comfortable in a fast\-paced medical aesthetics environment.
The ideal candidate is upbeat, dependable, enjoys interacting with people, and is comfortable discussing treatment options and pricing with patients. Sales experience is helpful, but we are willing to train the right personality. Compensation ranges approximately from $50,000–$70,000 annually including bonus opportunities, depending on experience and performance.
Responsibilities
- Greet patients warmly and provide exceptional customer service in a welcoming, upscale environment
- Manage appointment scheduling through our electronic health record (EHR) system to maintain efficient patient flow
- Confirm appointments, follow up on cancellations and reschedules, and maintain accurate patient records
- Answer incoming calls, texts, and emails professionally and promptly
- Discuss treatments, services, and package pricing with prospective and existing patients
- Prepare quotes for plastic surgery and medspa procedures
- Assist with patient intake forms, administrative paperwork, and data entry
- Support nursing and clinical staff with patient flow, treatment room preparation, and daily office operations
- Help organize supplies and maintain inventory
- Maintain patient confidentiality and HIPAA compliance at all times
- Assist with general front office and back office duties as needed
- Help maintain a polished and professional office atmosphere
- Occasionally assist with social media content, photography, videos, or marketing\-related tasks
- Excellent communication and interpersonal skills

- Strong organizational and multitasking abilities
- Comfortable discussing pricing and helping patients choose treatment packages
- Must be comfortable working in both front office and treatment room settings within a plastic surgery and medspa environment
- Sales experience preferred; medical experience is helpful but not required
- Willingness to learn and grow within the medical aesthetics field
- Proficiency with computers, scheduling software, Google Docs, Microsoft Office, and EMR systems
- Ability to work independently and proactively help where needed
- Professional appearance and demeanor appropriate for a high\-end plastic surgery and medspa practice
- Knowledge of medical terminology is a plus, but training will be provided for the right candidate
