General Summary
In alignment with the established policies and procedures of the East Lansing Public School District, the Guidance/Career Development Administrative Assistant is responsible for providing secretarial and administrative support to the building administration, counseling and teaching staff, school officials, and parents/guardians.
About the Role
- Receives calls and assists with transfers to appropriate extensions. Receives parents/guardians, teachers, and students wishing to see a counselor.
- Aids counselors with phone calls, faxes, filing, copying, organizing, ordering materials, and general questions. Maintains calendars and appointments for counselors.
- Generates reports (i.e. student information, scholarships, college information).
- Provides copies of report cards, student records, and transcripts.
- Maintains all forms related to Student Services.
- Processes work permits.
- Assumes responsibility for submitting Student Services’ daily announcements.
- Maintains CA 60 files \- including the filing of ACT, SAT, PSAT, MME, AP and WIN test scores, student pictures, and other student data forms.
- Works with the state on students qualified for Michigan Competitive Scholarship and MME endorsement.
- Maintains teacher grade files.
- Assists with count day: creates master spreadsheet regarding student special schedule forms, and organizes and files forms. Follows up with student regarding count day/scheduling questions.
- Maintains TRUE Room.
- Maintains Student Services webpage.
- Coordinates testing\-out Process.
- Oversees Michigan Virtual High School and dual enrollment.
- Plans and organizes College Admissions Officers visits.
- Helps plan, organize and work Senior and Junior Parent Nights, Financial Aid Workshops and any other planned events for parents regarding Student Services information.
- Plans and organizes National Merit Scholar breakfast.
- Assists with tutoring program when requested.
- Works with the district publicity director to get needed information to the media.
- Submits Student Services information in Community Line.
- Coordinates proctors for student tests for teachers.
- Submits needed information for convocation program\-scholarships and awards.
- Updates East Lansing High School profile brochure. Develops brochure related to senior graduation dates, procedures and expectations.
- Assists with drops and adds and distribution of schedules for students.
- Develops master schedule for student registration meetings with counselors.
- Coordinates supply ordering for entire Student Services office.
- Maintains Trojan Threads (Needs Closet)
- Requests maintenance needs.
- Maintains bulletin boards.
- Serves as backup to registrar.
- In addition to the specific duties stated above, the Administrative Assistant performs normally assigned responsibilities which include:
- Receptionist responsibilities.
- Correspondence and phone contact with a variety of audiences.
- Basic office tasks that include typing, copying materials, opening and sorting mail, filing, phone skills, proofing, bookkeeping/accounting.
- Handling non\-routine matters by interpreting established policies, providing information and making decisions within prescribed limits and brings potential problems to the attention of the supervisor.
- Other duties as assigned and is available to work overtime, as needed.
- Proficient in use of: computer, printer, Microsoft Word, e\-mail, typewriter, calculator, copy machine, stapler, shredder, FAX machine and telephone.
- Lifting (approx. 60 lbs) with bending.
- Has legible writing.
- High school diploma plus 6 to 12 months experience in secretarial work for executive personnel, preferably in a school setting.
- Demonstrated ability to effectively communicate verbally and in writing to a variety of audiences.
- Demonstrated strong relationship interpersonal skills with students, parents, and staff.
