Summary:

Director of First Impressions, acting as first point of contact for all client interactions. Assistant to assigned advisor(s)/office, assisting on all aspects of advisor business and service model. Manages client contact to ensure complete client satisfaction with an emphasis on creating and delivering a unique client experience that defines and differentiates the practice.

Assist Fulcrum Wealth Management Group Financial Advisors in servicing clients by completing detailed meeting prep for all client meetings and completing meeting follow up tasks and documentation, including following up directly with clients, home office, or other members of the Fulcrum team as appropriate.

Essential Duties and Responsibilities:

Client Service Coordinator

· Schedule and confirm client/prospect appointments; manage advisor calendars.

· Maintain CRM/client records (new entries, updates, segmentation, service cadence, contact notes) and ensure accuracy.

· File and organize client documents per records\-retention and compliance requirements.

· Support prospecting and onboarding (tracking, communications, and data gathering).

· Provide proactive client outreach and respond to routine service inquiries within role/authorization.

· Handle front\-desk and administrative tasks (phones, correspondence, file setup, scanning/copying, and paperwork processing).

· Monitor advisor inboxes as assigned and route/resolve routine client service items; track incoming mail and compliance logs.

· Coordinate client events and client experience touches (invites, materials, confirmations, day\-of support, gifting).

· Tracks and manages all incoming mail including completing daily mail log for compliance, written correspondence, and client communication.

· Process deposits/checks and related account paperwork per policy.

· Distribute approved marketing communications/newsletters and submit items to compliance as needed.

· Maintain a professional office environment (re\-stocking and ordering supplies as needed).

· Escalate issues appropriately and keep supervisor informed; assist with routine correspondence and other duties as assigned.

Paraplanner

High Level and technical Client Service

· Prepare and follow up on advisor meetings: agendas/materials, required forms, transactions, client updates, documentation, and task tracking.

· Execute account service requests and operational workflows (money movement, trades, RMDs, and new business tracking) within policies and systems.

· Produce client/advisor reporting and analysis (performance, risk, allocation/suitability updates, and scenario tools) to support recommendations.

· Support planning and casework (MoneyGuidePro analysis, insurance illustrations/underwriting follow\-up, and estate settlements) as assigned.

· Complete portfolio risk analysis (Riskalyze) for current/proposed portfolios or held\-away assets as requested.

· Maintain job knowledge through ongoing learning and professional resources.

· Improve processes, share best practices, and look for ways to add value.

· Deliver excellent service by resolving client needs or routing to the appropriate Fulcrum/Ameriprise resource.

· Perform other duties as assigned. Additional ad\-hoc function or location\-based responsibilities as needed.

Education and/or Experience:

Associate or higher degree from an accredited institution, college, or university; or one to two years related experience and/or training; or equivalent combination of education and experience.

Certificates, Licenses, Registrations:

· Current driver’s license

Language Skills:

Ability to read and interpret documents such as company policies, regulations and instructions, procedure and compliance manuals is essential. Ability to write routine reports and correspondence. Ability to speak effectively with individuals as well as groups of customers or employees of the organization.

Mathematical Skills:

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.

Computer Skills:

To perform this job successfully, an individual should have knowledge of contact management systems and client relationship management systems, database software, internet software, word processing software, financial planning software (MoneyGuidePro, Naviplan, Confident Retirement Tool, and other related software), Morningstar Advisor Workstation, brokerage trading software (Reuters Thomson/Vestmark), Ameriprise’s AdvisorCompass workstation, and Microsoft Office Suite software.

Pay: $25\.00 \- $30\.00 per hour
