Job Summary
We are seeking a dynamic and organized Receptionist/Administrative Assistant to join our team! This energetic role is vital in creating a warm welcome for patients and clients. The ideal candidate will possess excellent communication skills, strong organizational abilities, and a proactive attitude. You will serve as the first point of contact for clients, vendors, and staff, managing front desk responsibilities while supporting various administrative functions to keep our office running efficiently. This paid position offers an exciting opportunity to develop your office management skills. The role will initially be offered from 12\-5 PM, virtually. We may open a physical office within 6 months that would require at least partial time in\-office. Hours may expand to full time over time.
Duties
- Greet visitors warmly and professionally on the phone, ensuring they feel welcomed and attended to promptly
- Manage multi\-line phone systems, directing calls accurately and courteously
- Handle front desk operations, including calling physician referrals and maintaining security protocols
- Perform data entry, filing, and document proofreading to support administrative workflows
- Utilize office software such as Microsoft Office and Google Workspace for correspondence, scheduling, and record\-keeping
- Assist with calendar management and appointment scheduling for staff and executives
- Provide exceptional customer service by responding to inquiries via phone or email with professionalism and clarity
- Maintain organized records through filing systems, both digital and physical
- Proven experience in office administration or clerical roles with at least one year of relevant experience
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
- Excellent phone etiquette with experience managing multi\-line phone systems
- Bilingual abilities are highly desirable to serve diverse client needs effectively; please indicate if you are bilingual upon applying
- Exceptional organizational skills with keen attention to detail and accuracy in proofreading and data entry
- Ability to handle multiple tasks efficiently while managing time effectively in a fast\-paced environment
- Previous experience as a receptionist, dental or medical receptionist, or personal assistant is advantageous
- Strong interpersonal skills with a friendly demeanor that fosters positive interactions with clients and team members
- Fluent Spanish
