Temporary Front Desk Administrative Assistant
Legal Aid of Sonoma County (LASC) seeks a bilingual in English/Spanish Administrative Assistant (AA) to staff the Front Desk and to provide administrative and data entry support to the Intake Manager on a temporary basis that is anticipated through December 2026. The anticipated position end date is provided for your information only and is not to be construed as a contract of employment, as LASC is an ‘at will’ employer.
Duties and Responsibilities:
· Greet and perform intake eligibility screening for walk\-in clients, run conflict checks in Legal Aid’s client database (Legal Server), and assist eligible clients with completion of intake paperwork. Provide referrals to other agencies and resources as needed. Work with other staff, student interns and community volunteers who are also assigned to the front desk on a rotating basis.
· Translate during client interviews of Spanish speaking clients for non\-Spanish speaking staff.
· Set up case files and enter new client cases into Legal Aid’s client database (Legal Server). Maintain up\-to\-date case notes, time reporting and client demographic data in Legal Server. File open and closed case file folders and assist in maintaining an organized and confidential case filing system.
· Assist with maintaining master calendar in MS Outlook with schedule of meetings and appointments with clients and attorneys. Schedule new meetings with clients and attorneys.
· Make photocopies of correspondence, documents, and other printed matter.
· Provide backup as needed to the Telephone Intake Caseworker, answer incoming hotline calls, provide referrals or phone screening to callers, and complete call logs.
· Gather and analyze data on service providers, conduct internet searches for information, regularly review lists of referral contacts and other community resources and keep them up to date.
· Attend regularly scheduled staff and program team meetings.
· Data Entry and compilation: Enter and update data into multiple databases including the Legal Server client database and the Fundly/Non Profit Easy donor database. Review data entry input by others for accuracy and completion.
· Update, print and mail letters and other correspondence to donors, funders and others. Assist with ‘mass mailings’ to the LASC donor mailing list.
· General Administrative and other tasks as assigned.
Skills Required:
- Bilingual in Spanish/English
- Excellent communication skills and ability to relate to diverse client population, including low\-income, disabled and senior clients. Demonstrated ability to work with all persons regardless of age, gender, ethnicity, economic background, immigration status, gender identification, or sexual orientation.
- Ability to multi\-task with great attention to detail is required. Ability to remain calm, patient and on task in what can be a stressful and hectic environment is also required.
- Excellent organizational skills.
- Proficient in computer applications including Microsoft Office, Google Docs and database programs.
- At least two (2\) years’ receptionist, customer service, or general office experience, previous non\-profit or law office experience preferred.
- Ability to work independently and as a member of a diverse team.
- Must be flexible, work well under pressure, prioritize tasks, and manage time effectively.
- This position requires driving to offsite locations. Access to reliable transportation is required for this position.

- Previous experience in legal services and/or demonstrated commitment to public interest law work or to providing services for the poor is strongly preferred.

* This position is *not* remote. Client services are provided on site at the LASC office in Santa Rosa, CA.
