We’re seeking a highly organized, proactive Executive Assistant to work at the heart of our transatlantic art‑salon movement. You’ll support our executive team—most closely the Founder—managing calendars, coordinating projects, and keeping daily operations polished and graceful. This role is perfect for someone who wants hands‑on experience inside a fast‑growing cultural startup and values elegant, detail‑oriented work.

Core Responsibilities:

* Calendar \& Task Management: Own the founder’s calendar, flag deadlines, and nudge daily priorities so nothing slips through the cracks.

* Inbox Lead: Monitor and triage email; draft or polish replies so the correspondence stays timely, warm, and on‑brand.

* Proposal \& Catalog Production: Help build pitch decks, sponsorship proposals, and exhibition catalogs—gathering assets, proofreading, and aligning layouts with The Salon’s elegant style.

* Contracts \& Artist Files: Keep agreements, consignment forms, and artist dossiers neatly organized and easy to access; track renewal or signature deadlines.

* Artist \& Patron Coordination: Maintain contact sheets, schedule studio visits or check‑ins, and ensure relationship notes are up‑to‑date in our CRM/Sheets.

* Light Social Media Support: Respond to Instagram DMs and comments, queue story posts, and assist with basic Canva edits or caption proofreading.

* Event Assistance: Pitch in on guest‑list management, run‑of‑show docs, and on‑site hospitality for intimate dinners, previews, and openings.

* Research \& Special Projects: Compile quick briefs on venues, patrons, or cultural trends, and jump into ad‑hoc tasks that keep The Salon moving forward.

Qualifications

  • Proficiency in
  • Google Suite (Docs, Sheets, Slides, Calendar).

  • Exceptional verbal \& written communication; natural proofreader.
  • Strong organizational instincts with the ability to juggle shifting priorities.
  • Previous customer‑service or front‑desk experience a plus.
  • Demonstrated finesse in calendar management and project coordination.
  • Comfortable working both independently and as a collaborative teammate.
  • Bonus: familiarity with Instagram, Canva/Adobe, TikTok
