Responsibilities
- Greet visitors and clients warmly, providing excellent customer service while managing front desk activities.
- Operate multi\-line phone systems efficiently, directing calls accurately and professionally using proper phone etiquette.
- Manage appointment scheduling and calendar coordination using digital tools such as Google Workspace and Microsoft Office.
- Handle data entry, filing, and document proofreading to maintain organized records and ensure accuracy.
- Assist with office management tasks including supply inventory, mail distribution, and basic bookkeeping using QuickBooks or similar software.
- Support administrative functions such as typing correspondence, preparing reports, and supporting team members with personal assistant duties when needed.
- Maintain a clean and organized reception area while ensuring all office equipment is functioning properly.
- Proven office experience or clerical background with a strong emphasis on customer support and administrative tasks.
- Familiarity with front desk operations, multi\-line phone systems, and office management software such as Microsoft Office Suite (Word, Excel, Outlook).
- Bilingual skills are highly preferred to assist diverse client needs effectively.
- Experience in medical or dental receptionist roles is a plus, demonstrating familiarity with appointment scheduling and patient/customer interaction protocols.
- Strong organizational skills with the ability to prioritize tasks efficiently while managing time effectively.
- Demonstrated computer literacy including data entry, proofreading, filing systems, Google Workspace applications, and basic bookkeeping (QuickBooks).
- Excellent phone etiquette coupled with exceptional interpersonal skills to provide outstanding customer service in a professional environment.
