- Serve as the primary receptionist, providing excellent and empathetic customer service while engaging in culturally appropriate and inclusive communication.
- Answer multiple phone lines, screen and direct incoming calls, and take messages. Return voicemail in a timely manner.
- Greet office visitors and provide instructions and directions.
- Provide office visitors with information about services and refer to appropriate personnel, as needed.
- Perform numerous office and organizational support tasks using dedicated office software (e.g., email, word processing, spreadsheets).
- Reserve meeting rooms.
- Pickup, open and distribute mail, and prepare mailings.
- Order materials, supplies, publications, computers, etc., from cost\-effective vendors.
- Assist with coordinating equipment and facility repairs and maintenance.
- Assist with payment of invoices, travel, reimbursements, and procurement card processing.
- Assist the Administrative Office Manager with finance support: maintain postage accounts; handle sales of publications; take in registration funds for programs; and on occasion may assist with making bank deposits.
- Follow OSU policies, standards, rules, and procedures and the Division’s rules and procedures as needed to perform responsibilities.
- Open and/or close the office daily per office hours.
- Provide program and organizational support for in\-person and remote non\-credit educational programs.
- Assist program faculty by coordinating program/workshop processes from inception to completion. Organize events, such as fair booths, outdoor camps, and workshops.
- Assist programs with distributing promotional flyers, informational letters and memos, schedules of events, event programs, publications, advertising, procedure manuals, and program calendars.
- Edit and post Extension educational information and events, using OSU Extension web templates and OSU web content management system.
- Assist with special projects as requested in all program areas.
- Manage sensitive information with confidentiality and discretion.
- May perform responsibilities relating to OSU relationship with county associations, where applicable: Follow OSU financial policies, standards, rules, procedures, and best practices and the applicable Wasco County association agreement.
- Utilize OSU’s content management system to create/design marketing materials, provide support, and maintain content on the OSU Extension Wasco County website and social media by keeping them current and user\-friendly, working with the appropriate OSU departments as needed.
- Post photos, videos, and other documents as needed. Ensure inclusive contents.
- Ensure the accessibility of marketing materials, including language access and formats.
- Update and maintain Extension databases.
- Follow OSU and division brand guidelines, digital publishing standards and digital contact management data integrity practices for programmatic communications, marketing and engagement.
- Perform other duties as assigned.
- Assist the Administrative Office Manager with the Extension’s civil rights obligations at the Extension Wasco County Office such as collecting data and documents from program academic and professional faculty for the internal reviews, and ensuring program marketing materials are accessible and include reasonable accommodations information.
- Complete the OSU mandatory training courses and the division’s civil rights training session(s).
- Assist the Administrative Office Manager with ensuring a safe, welcoming and respectful workplace environment for all Extension and Engagement constituents and clients.
- Demonstrated ability to write and edit clear, accurate communications, including attention to grammar, spelling, and detail.
- A demonstrated commitment to collaborative and respectful learning and working environments that are safe, inclusive, and welcoming.
- Bilingual and Bi\-cultural (English and Spanish).
- Demonstrated experience providing customer service in an office, front desk, or public\-facing environment.
- Experience creating and managing digital content for webpages and social media
- Experience supporting events, workshops, or program coordination.
- Experience working with diverse community\-based organizations.
- Typical work hours are Monday\-Friday between 8:00 a.m. to 5:00 p.m. with a flex schedule during Wasco County Fair week.
- This position spends extensive periods of time using a computer.
- Ability to lift, carry, push, and pull materials weighing up to 25 pounds on an occasional basis.
- Occasional tasks may include moving boxes, program supplies, or shipped materials within office and storage areas.

Job Summary
This recruitment will be used to fill one full\-time Office Specialist 2 position for the Oregon State University Division of Extension and Engagement’s Extension Wasco County.
This Office Specialist 2 (OS2\) is a team member of the Oregon State University Division of Extension and Engagement’s (division) Extension Service in Wasco County, Oregon. As a team member, this OS2 provides administrative, program, and digital communication support for the OSU Extension Wasco County office as assigned. The Office Specialist 2 must know all facets of the OSU Extension Wasco County Office and is expected to independently organize and prioritize a demanding and complex workload, monitor progress, and adapt to changing needs. This support includes providing excellent and empathetic customer service while engaging in culturally appropriate and inclusive communication.
This individual assists the OSU employees in Extension Wasco County with ensuring that educational programming and outreach activities serve broad and diverse populations in an accessible and inclusive manner. This includes assisting the Administrative Office Manager with the civil rights and language/visual access obligations.
The division has built the capacity and expectation for employees to use digital communications and technologies in the modern\-day workplace. What We Require
Two years of general clerical experience. One year of which included typing, word processing, or other experience generating documents; OR An Associate’s degree in Office Occupations or Office Technology; OR Graduation from a private school of business with a Certificate in Office Occupations or Office Technology and one year of general clerical experience. College courses in Office Occupations or Office Technology will substitute for the required experience on a year\-for\-year basis.
What You Will Need
This position is designated as a critical or security\-sensitive position; therefore, the incumbent must successfully complete a criminal history check and be determined to be position qualified as per University Standard: 05\-010 et seq. Incumbents are required to self\-report convictions and those in youth programs may have additional criminal history checks every 24 months.
