Job Summary

We are seeking a dynamic and proactive Tenant Services Coordinator to join our property management team. In this vital role, you will serve as the primary point of contact for tenants, ensuring their needs are met with professionalism and enthusiasm. Your responsibilities will include managing lease agreements, coordinating property services, and fostering positive relationships with residents. The ideal candidate will possess strong administrative skills, a thorough understanding of landlord\-tenant law, and experience in property management operations.

Essential Duties and Responsibilities:

  • Foster positive relationships with tenants to maintain satisfaction and retention.
  • Address and resolve tenant complaints promptly and professionally.
  • Assist with lease signings, renewals, amendments, and terminations.
  • Ensure tenants comply with lease agreements, including timely rent payments.
  • Maintain accurate tenant records, including updating contact information and uploading all relevant information into company software.
  • Prepare all tenant notices in a timely manner.
  • Mediate conflicts between tenants or between tenants and property management.
  • Investigate complaints regarding noise, disturbances, or property damage.
  • Track monthly rent payments to determine which tenants have not paid rent and type 3\-day notices accordingly.
  • Prepare Holding Deposit Agreements upon acceptance of applications.
  • Send “Welcome Email” upon application acceptance. Guide tenants through the move\-in process.
  • Prepare for tenant move\-ins: Collect all funds, utility information, renter’s insurance information, signed lease agreements. Visit rental properties before tenants move\-in dates to ensure properties are ready for move\-in. Prepare keys, remotes, and move\-in checklists. Provide tenants with all essential information, including but not limited to, mailbox location and number, gardener service dates, gate codes, etc.
  • Provide Move\-Out Guidelines, Acknowledgment, and Right to Inspection notices to tenants when they provide a notice to vacate. Collect cleaning receipts and forwarding addresses from vacating tenants. Monitor move\-out dates to ensure tenants vacate and return all keys and remotes.
  • Upload all tenant documents in Rent Manager and file hard copies.
  • Answer phones as needed (i.e. administrative assistant is unavailable or absent).
  • Assist with posting notices and showing properties as needed.

Comfortable handling high volumes of phone and email communication, including difficult conversations related to complaints, lease terms, rent increases, policy enforcement, and evictions.     * Organization \& Time Management: Effectively manages multiple tasks, prioritizes competing demands, and meets deadlines in a fast\-paced environment. Maintains accurate records and stays organized across multiple properties and tenant accounts. Develop realistic action plans while being sensitive to time constraints and resource availability.

    * Problem Solving \& Decision Making: Strong analytical and problem\-solving abilities to address property issues and customer conflict effectively. Uses sound judgement to resolve tenant issues and operational challenges. Able to assess situations, make informed decisions, and take appropriate action, even in emotionally charged situations.

    * Initiative \& Team Collaboration: Demonstrates a proactive, “go\-getter” mindset while working effectively within a small team. Willing to support others, adapt to changing priorities, and ask for help when needed. Recognize when there are other priorities and offer help.

    Qualifications

  • Bilingual in English and Spanish
  • High school diploma or equivalent
  • Minimum of 2 years of experience in property management, or a related field
  • Proficiency in Microsoft Office
  • Valid California driver’s license with a reliable vehicle and current auto insurance
  • Strong written and verbal communication skills
  • Ability to handle a high volume of tenant interactions, including difficult conversations, in a professional manner
