Purpose of the Position

The purpose of this position is to provide reliable support in the areas of accounts payable, basic bookkeeping, and administrative support that ensures accurate financial records, timely vendor payments, and well\-organized documentation for Kids Across America (KAA). The role supports the Business Manager and Admin team and may assist other departments as needed, with seasonal flexibility based on the needs of KAA.

Expectation

Position requires a regular and consistent physical presence at the Kids Across America administrative offices located at 2036 Timberlake Drive, Branson, MO. Some flexibility and ability to work from home on occasion may be accommodated but must be approved by supervisors.

Primary Responsibilities

  • Process vendor invoices: code, route for approval, and enter accurately in QuickBooks and/or other online accounting software
  • Prepare and assist with weekly check runs/ACH payments; maintain payment documentation and vendor files
  • Reconcile bank statements monthly.
  • Reconcile vendor statements and resolve invoice/payment discrepancies in coordination with internal approvers and vendors
  • Support month\-end tasks such as posting entries (as trained), maintaining schedules, and organizing supporting documentation for audits and reporting

  • Provide administrative assistant support to the Finance team (correspondence, tracking spreadsheets, document organization, and meeting support) and cross\-train on other finance\-related tasks as needed
  • Possible year\-round responsibilities may include:

    Accounts payable processing, bookkeeping support, vendor communications, expense documentation and coding support, purchasing/card receipt tracking, and maintaining organized digital accounting records.

    Seasonal workflow may include:

    Increased invoice volume support, registration\-related deposit/receipt tracking, additional reconciliation and reporting support, and administrative assistant support to other departments (as available) during peak seasons.

    Experience, Education, and Training

  • High school graduate or GED equivalency required/associate’s degree in business or accounting preferred.
  • General office/clerical experience is a plus.
  • Experience with Office365 including working with Excel/Word documents required
  • Experience in QuickBooks or other similar online computer accounting software required
  • Experience creating fillable documents is a plus.
  • Experience with record keeping and archiving a plus.
  • Detail\-oriented with strong follow\-through, discretion, and the ability to handle confidential financial information
  • Professional communication skills and ability to manage multiple priorities with consistent onsite attendance
  • 10\-key proficient recommended, but not required
  • Working Environment/ Physical Demands

    The work environment and working conditions described here are representative of those that are typical of the job and must be met by an employee to successfully perform the essential functions of this job. Work is performed in an indoor, temperature\-controlled office environment. Low to moderate noise level with exposure to typical office noises and interruptions such as printers, phones, and staff occurs on a daily basis.

    Work requires sitting for extended periods of time; requires hearing, vision, and manual dexterity or the ability to operate keyboards, adding machines, phones, and other office equipment to perform data entry from multiple types of mediums, ability to answer phones, and perform other essential functions. Work requires occasional lifting of up to 25 pounds (i.e. boxes of paper). Reasonable accommodation may be made to enable individuals with disabilities to perform the essential functions.

    Licensing and Certifications

  • Must possess and maintain a valid Motor Vehicle Operator’s license and be insurable under Kids Across America insurance coverage when operating a KAA vehicle.
