The Job:
Spak Group seeks a professional and highly skilled full\-time Accounting Assistant to provide a wide range of support services for our organization. As a member of the Financial Services Team, this reliable, detailed\-oriented individual will be tasked with responsibilities to ensure timely and accurate billing to tenants and clients, timely and accurate payments to employees and vendors, organizing and maintaining office records and needs, and working closely with management to manage cash flow and reporting for a group of growing affiliated companies.
This position will function as a trusted partner to the Property Management Team and the Financial Team. This position will answer to our Chief Financial Officer / Comptroller.
Job Responsibilities include, but are not Limited to:
Accounts Receivable
- Invoice tenants for rent, expenses, CAM, NNN charges and any other billable items
- Collect, deposit and post deposits
- Review aged accounts receivable reports weekly
- Resolve billing issues with tenants
- Monitor and maintain rent increases and rent renewals
- Maintain accounts receivable in Rent Manager \& QuickBooks
- Work with Financial Team to monitor and collect rent payments, late payments and application of ancillary charges / payments to residents
- Verify that all invoices have been approved for payment
- Verify correct company to be charged
- Verify correct general ledger account to be charged
- Post invoices to QuickBooks
- Analyze and report on Monthly, Quarterly and Annual payables against approved budgets and prior expenses
- Work with Property Management Team with notifications of discrepancies in usage of expenses outside budgets or out\-of\-line of prior expenses.
- Generate checks for signature and/or make payment as instructed
- Review of aged accounts payable reports weekly
- Properly notate and file invoices and payments made, as instructed and needed
- Verify time sheets
- Create payroll reports
- Generate checks for signature
- Establish positive and professional relationships with residents, vendors and contractors
- Collect and sort mail
- Complete all digital and hard\-copy filing, as neededProficient and timely correspondence, including letter writing, Emails and numerous telephone calls; as well as act on behalf of our various companies to vendors and clients.
- Prepare for meetings with superiors and team members with meeting summaries / memos
- Consistently implement Company policies and those of our buildings.

- Work closely with Management on daily operations for the success of our properties
- Data entry in Quickbooks, Microsoft Offices Suite Applications and Rent Manager
- Administrative tasks and other activities that contribute to helping the operations of the agency stay organized and efficient.

- Salary Range commensurate with experience: $55,000 to $60,000 per Year
- 10 Days of Personal Time Off (PTO)
- A company owned computer purchased solely for Employee will be provided.
