Duties
- Manage complex calendars, schedule meetings, and coordinate appointments with attention to detail and priority.
- Prepare, proofread, and edit correspondence, reports, presentations, and other documents with accuracy and professionalism.
- Handle incoming calls using multi\-line phone systems; direct inquiries with excellent phone etiquette and customer service skills.
- Organize files, maintain records, and oversee document management using digital tools such as Google Workspace and Microsoft Office.
- Assist with travel arrangements, including booking flights, accommodations, and preparing itineraries for executives.
- Support office management tasks such as supply ordering, maintaining office equipment, and overseeing front desk operations.
- Perform data entry, bookkeeping using QuickBooks, and basic clerical tasks like filing and photocopying to ensure seamless office functioning.
- Provide personal assistant support as needed, including calendar management and task prioritization for busy executives.
- Deliver exceptional customer support by addressing inquiries promptly and professionally in person or via phone or email.
- Assist with the management of residential and/or commercial rental properties, including tenant communications, scheduling maintenance, and tracking lease activity.
- Support various business projects from inception to completion — conducting research, managing timelines, and coordinating with vendors and third parties.
- Proven experience in office management or administrative roles with strong organizational skills.
- Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry tools.
- Strong typing skills combined with meticulous proofreading abilities to produce error\-free documents.
- Familiarity with multi\-line phone systems, front desk operations, and phone etiquette for professional communication.
- Bilingual capabilities are a plus to effectively serve diverse clients and team members.
- Experience in clerical tasks such as filing, calendar management, record keeping, and document organization.
- Knowledge of bookkeeping software like QuickBooks for basic financial recordkeeping; experience with medical or dental receptionist duties is advantageous.
- Exceptional time management skills to prioritize tasks efficiently in a fast\-paced environment.
- High attention to detail and discretion with sensitive information.
- Ability to work independently and manage competing priorities.
- Customer service orientation with a friendly demeanor; ability to handle sensitive information discreetly.
- Local to Honolulu; reliable transportation preferred
