Job Definition: Under the general supervision of the PDLP principal and/or superintendent, performs a variety of difficult and responsible clerical and secretarial work which requires the use of independent decision\-making. The schedule is flexible and is typically Monday\-Thursday during school hours, 30 a week—not to exceed 32 hours a week, approx 7\.5 hours a day with a 30\-minute paid lunch break, 12 months of the year (vacation days accumulate monthly, otherwise follows the DLP calendar, including Fall, Winter, and Spring breaks). Remote work with a mid\-valley location for occasional in\-person meetings and access to storage.

Reports to: Superintendent/PDLP Principal

Job Characteristics: Employees in this classification are under the general supervision of the superintendent/PDLP principal within a framework of established procedure. Some non\-routine phases of work may be referred to the superintendent/PDLP Principal for advice. Decisions and determinations are based on procedures that may not be clearly defined and work may be performed from limited instructions. The use of independent judgment is required on routine assignments. An employee in this position is subject to daily work pressures, requiring constant concentration on work which must be completed within a limited period of time.

Essential Functions:

  • Answer the telephone and act as receptionist for PDLP and stays informed on program availability.
  • Communicate clearly and timely with parents on all aspects of the program.
  • Enroll and withdraw students following program and district procedures.
  • Serve as information liaison between the administration, teachers, district office, and the general public.
  • Schedule appointments, field trips, testing locations, meetings, and other events as necessary.
  • Facilitate training for state testing for all staff and coordinate schedules and bookings for state testing.
  • Write letters and memoranda from rough drafts, notes, or oral instruction.
  • Create forms in software programs (ie: Google Drive, Digisigner, Jot Form, Adobe, Excel).
  • Manage and organize completed and incomplete forms.
  • Input data for students and families, processed and unprocessed orders, new orders, waitlist applications, special education, and other necessary data entry tasks.
  • Securely create, organize, and send/transmit special education documents to parents and districts.
  • Use technology to collect electronic signatures for documents.
  • Enroll students in online classes and support via various programs (Lexia, Raz Kids, Aleks, etc).
  • Maintain and update an activity calendar.
  • Record financial transactions including but not limited to family purchasing and updating students' instructional funds.
  • Review program purchase orders and requisitions via district software and run monthly reports.
  • Manage inventory and distinguish between consumable and non\-consumable inventory. Access and move items in storage as needed for staff and students.
  • Travel as needed for staff meetings and staff inservice, typically 1\-2 days per month.
  • Maintain and update current website.
  • Maintain vendor relationships through contract agreements and updates, insurance requests, and other tasks.
  • Complete other tasks as assigned by Superintendent, PDLP Principal and Special Education director.
  • Other Functions:

  • Operate office machines, including computers, scanners, copiers, iPads, printers.
  • Assist in the accounting process of school purchasing.
  • Use various computer software (iVisions, OKTA, TIENet, ALMA, Sign\-up Genius, Jot Form, Adobe, DigiSigner, SurveyMonkey, Google Suites, GMail and others).
  • Fulfill other secretarial\-related duties as assumed or as assigned by the principal.
  • Job Qualifications:

    Knowledge of:

  • Current office methods, practices, and procedures.
  • Business English, spelling, and arithmetic.
  • General office machines, educational technology, word processing, computer programs and equipment.
  • Ability to:

  • Perform clerical work with speed and accuracy.
  • Type at a speed of 45 words per minute from legible copy.
  • Use word processing program(s).
  • Learn, interpret, and apply school policies, laws, and regulations.
  • Make arithmetical calculations.
  • Spell correctly and use good English.
  • Understand and carry out oral and written directions.
  • Maintain effective relationships with program staff, students and their parents, and the general public.
  • Experience: General clerical and stenographic experience desirable.

    Education: High school diploma or equivalency.

    Physical Requirements: Working closely with students and parents can be physically and emotionally tiring; may require exposure to adverse weather conditions and noisy work areas.

    1\. In an eight hour day employee may:

  • Employee may use feet for repetitive movement as in operating foot controls when driving.

    c. Climb stairs occasionally

    d. Lift occasionally

    e. Sit for extended periods

  • Lifting: Light Work \- Lifting 50 pounds occasionally, with frequent sitting and occasional standing/walking.
  • Starting Wage Rate: $18\.39/hr.

    Benefits: PERS retirement benefits (fully paid by the District). Medical, dental and vision insurance. Up to $2,400 health reimbursement account ($800 per qualifying family member) or $3,600 health savings account ($1,200 per qualifying family member). Eighty\-four (84\) hours paid sick leave (cumulative); twenty\-four (24\) hours paid personal leave (non\-cumulative); and twenty\-four (24\) hours paid bereavement leave (non\-cumulative). Nine (9\) paid holidays.
